Administration Officer - Customer Support & Works Coordinator

John Bossy Refrigeration & Air Conditioning is a SA based, family-owned, commercial refrigeration and air conditioning company.  We pride ourselves on excellent customer service & delivering high quality work.

We are looking for a permanent full time Service Coordinator & Administrative all-rounder to join our team at our Melrose Park office with free on-site parking. Office hours are Monday - Friday, 8am to 4pm. Some overtime may be available.

You will be supporting our customers, technicians & managers by completing various tasks associated with the day to day running of our Service & Installation Departments. You will enjoy building relationships and be our first line of contact with our customers & suppliers.

General day to day duties:

• Prioritise & co-ordinate work for our technicians for breakdown service, new installation and ongoing maintenance for customers through our job management system.

• Provide customer support including answering & logging incoming calls & service requests as well as responding to emails & web enquiries.

• Liaise with our customers, suppliers, technicians & managers to provide job updates.

• Create purchase orders as well as order, receive, allocate parts and materials.

• Ensure customer satisfaction by supporting with issue resolution, including managing company Google reviews.

• Provide administrative support towards the businesses OHS&W requirements including technician team meetings.

• Process credit card payments by customers as needed.

• Maintain accuracy & privacy of records within our various systems.

• Complete other administrative tasks, as required.

The ideal candidate will have:

• Excellent customer service & communication skills, both written & verbal.

• Excellent organisational & time management skills.

• Ability to multitask, prioritise & adapt to changing situations.

• High level of initiative & strong attention to detail.

• Have a positive outlook with a co-operative & collaborative approach and willingness to learn.

• Ability to work independently or as part of a team.

• 2 years’ experience in a similar role within the industry, highly desirable.

• Strong computer literacy in Microsoft Office Suite.

• Experience with ServiceM8 or similar job management software & MYOB, highly desirable.
