Groups & Reservations Coordinator

As a Groups Administrator, you will coordinate and administer all group reservations, ensuring bookings are processed accurately and efficiently. You will liaise with clients and hotel teams, manage group contracts and correspondence, monitor room availability and rates, and support revenue optimisation initiatives. The role requires strong organisational skills, attention to detail, and a commitment to delivering outstanding guest experiences.

• Manage and administer group accommodation bookings in accordance with reservations procedures.
• Maintain accurate booking details, rates, packages, segment codes, and group information within hotel systems.
• Maximise room sales and revenue opportunities while effectively managing inventory and availability.
• Provide exceptional customer service through timely responses to telephone and email enquiries.
• Liaise with clients regarding group bookings, site inspections, sales activities, and group arrivals.
• Follow up on quotations, booking options, cancellations, and declined business opportunities.
• Maintain accurate filing systems, contracts, and group correspondence records.
• Ensure compliance with data security, credit procedures, and company policies.
• Support the Group and Reservations Manager by monitoring occupancy trends and business impacts.
• Collaborate effectively with team members and assist colleagues as required.

• Previous experience in hotel reservations, groups administration, hospitality, or a customer service environment preferred.
• Strong administrative and organisational skills with exceptional attention to detail.
• Excellent verbal and written communication skills.
• Customer-focused mindset with a commitment to service excellence.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Proficiency in Microsoft Office applications and hotel reservation systems.
