RTO Coordinator

About the role

This part-time role provides essential administrative, coordination and compliance support to ensure smooth delivery of accredited and non-accredited training programs. You will work closely with trainers, learners, industry clients, and leadership to uphold Registered Training Organisation (RTO) standards and deliver an exceptional training experience.

Key responsibilities

• Manage course scheduling and coordination of trainers and equipment

• Assist with booking flights and accommodation for team travel (includes International travel)

• Manage student enrolments, LLN checks, USI verification, and compliance documentation

• Prepare / update training materials, learner resources, and post-course documentation

• Issue Statements of Attainment and certificates in accordance with regulatory requirements

• Maintain accurate student and training records in SMS/LMS system

• Support audit readiness, document control, and RTO compliance processes

• Manage applications and renewal of overseas working visas

• Provide timely and professional customer service to learners, partners, and clients

• Diary Management for the CEO

About you

• Minimum 2 years' experience in an administration, training coordination, or RTO support role

• Demonstrated experience maintaining accurate records and managing compliance-related documentation

• Experience coordinating travel, accommodation, and course logistics, including interstate or international travel arrangements

• Strong organisational and time management skills, with the ability to manage multiple priorities simultaneously

• Excellent written and verbal communication skills

• Intermediate to advanced Microsoft Office skills

• A proactive and customer-focused approach to supporting learners, trainers, and clients

• Experience working within an RTO environment

• Experience working with Learning Management Systems (LMS), Student Management Systems (SMS), or related databases

• Knowledge of RTO compliance requirements, ASQA standards, and VET sector processes
