Phone Operator / Administration Assistant

sportsmed Orthopaedics is seeking a friendly, organised, and motivated Phone Operator / Administration Assistant to join our team.

About the role

As a key member of our administration team, you will be one of the first points of contact for our patients and referring practitioners. You will play an important role in ensuring our patients receive a professional, welcoming, and seamless experience from their first phone call through to their appointments.

Key responsibilities

• Answering and managing a high volume of incoming telephone calls

• Providing friendly, professional and helpful service to patients

• Responding to patient enquiries and providing accurate information

• Processing referrals and assisting with patient administration

• Liaising with specialists, allied health professionals and other medical practices

• Maintaining accurate patient records and documentation

• General administrative duties

• Assisting the broader administration team as required

• Managing competing priorities in a fast-paced environment

• Warm, friendly and genuinely enjoys helping people

• An excellent communicator with a professional telephone manner

• Highly organised and able to manage multiple tasks

• Reliable, punctual and committed to providing a high standard of service

• Confident using computer systems and able to learn new software quickly

• Detail-oriented, with strong administrative skills

• Calm and professional when dealing with busy periods or challenging situations

• A positive team player who is willing to assist wherever needed

• Experienced in medical administration, reception or a high-volume call environment (desirable, but not essential)
