Maintenance Planner (Electronics)

Ultimate Security is seeking a highly organised and customer-focused Maintenance Planner to join our growing service team.

This is a fast-paced coordination role where you will be responsible for planning, scheduling, and managing maintenance and service activities for our field technicians and subcontractors. You will play a key role in ensuring seamless service delivery, excellent customer communication, and efficient administration from job creation through to completion.

• Schedule and coordinate annual and bi-annual maintenance services

• Manage work orders and service requests through company systems

• Dispatch technicians and subcontractors to meet operational requirements

• Liaise with customers, technicians, subcontractors, and internal stakeholders

• Provide clear and proactive customer communication regarding service updates and scheduling

• Manage inbound and outbound email correspondence professionally and efficiently

• Maintain accurate service records and documentation

• Prepare customer invoices and process subcontractor invoices

• Assist in resolving service enquiries and operational issues

• Ensure compliance with WHS policies, procedures, and company standards

You are a proactive and detail-oriented professional with excellent organisational and communication skills. You can confidently manage competing priorities while maintaining a high standard of customer service.

Essential Skills & Experience

• Strong administration, scheduling, and coordination skills

• Excellent time management and organisational ability

• High attention to detail and accuracy

• Strong written and verbal communication skills

• Professional phone and email etiquette

• Ability to multitask in a fast-paced environment

• Proficiency in Microsoft Word, Excel, and Outlook

• Strong customer service focus

• Experience using service management or CRM systems such as simPRO

• Previous experience in a service, maintenance, or operational environment

• Supportive and collaborative team environment
