Administration Officer / Receptionist

About the role

As the Administration Officer / Receptionist, you will be the first point of contact for students, parents, visitors and the wider community. You will coordinate professional administration and reception services and help ensure the school operates efficiently and professionally. This is a varied role requiring someone who is proactive, adaptable and comfortable managing multiple priorities. You will work closely with the Head of School and provide support across administration, student enrolments, finance, compliance, communications and general school operations. As the school grows, the role may also involve coordinating and supervising administration support staff.

Key responsibilities

• Coordinate the provision of professional administration and reception services to students, families, staff, visitors and the wider School Community.
• Manage reception, phone calls, emails and visitor enquiries in a professional and welcoming manner.
• Provide administrative support to the Head of School and assist with the efficient day-to-day operation of the school.
• Coordinate student enrolments, including enquiries, documentation, acceptance processes and student database functions.
• Maintain accurate student, staff and school records and databases.
• Determine and manage General Office work priorities in consultation with the Head of School and, when appointed, the Business Manager.
• Coordinate and, as the school grows, supervise Education Support (ES) staff working in office administration positions, including relief staff where applicable.
• Liaise with the School Community and relevant staff to establish and maintain administrative procedures for excursions, camps and other school activities, including reports and feedback where required.
• Coordinate the preparation and distribution of school newsletters, circulars, notices and other communications to the School Community.
• Manage the use, maintenance and organisation of materials and equipment within the General Office, including appropriate procedures for their use.

About you

• Previous experience in administration, reception, office management or a similar coordination role.
• Excellent organisational and time-management skills, with the ability to establish priorities and manage multiple competing tasks.
• Strong written and verbal communication skills and the ability to communicate professionally with students, families, staff and the wider School Community.
• Demonstrated ability to coordinate administrative processes and maintain accurate records, documentation and databases.
• Strong attention to detail and a high level of accuracy.
• High level of proficiency in Microsoft Office and the ability to confidently learn and use school administration, student management and finance systems.
• Ability to manage confidential and sensitive information with discretion.
• Excellent customer service and interpersonal skills.
• Ability to work independently, take initiative and solve day-to-day administrative problems.
• Current Working with Children Check (or willingness to obtain).
