About the role
Your Opportunity
We have an exciting temporary, full-time opportunity for two (2) years for a Project Support Officer to join the Business Development team within Commercial Services at TAFE Queensland SkillsTech, based at the Acacia Ridge campus.
In this role, you will provide high-quality project administration and operational support to help deliver region-based and statewide strategic projects and funded programs. You will support timely participant-related processes, accurate record keeping, project documentation and routine reporting across the project lifecycle.
Working closely with the Senior Project Coordinator, regional teams and relevant internal stakeholders, you will assist with project planning, communication, participant onboarding and regional delivery requirements. This is a varied role where your organisation, initiative and attention to detail will support positive stakeholder and participant outcomes.
This position reports to the Business Development and Marketing Manager and works in close partnership with the Senior Project Coordinator.
Key Responsibilities

• Provide high-quality administrative and coordination support to the Senior Project Coordinator across the planning, implementation and delivery of strategic projects and funded programs.
• Coordinate participant Expressions of Interest, applications, approvals, consultations and onboarding activities, ensuring records and communications are timely, accurate and handled confidentially.
• Maintain project schedules, registers, tracking systems, routine documentation, meeting arrangements, agendas, minutes and action registers.
• Work closely with regional teams, internal stakeholders and relevant external stakeholders to support project activities, local delivery requirements and participant engagement.
• Respond to routine enquiries from applicants, participants and stakeholders, providing clear and accurate information about relevant processes, services and participant pathways.
• Maintain effective records management and filing systems, and assist with routine reports, status updates and project documentation by collating information from project systems, records and regional teams.
• Identify incomplete actions, administrative issues or barriers that may affect participant progress or project activities and refer these to the Senior Project Coordinator for action.
• Contribute to continuous improvement by identifying recurring issues, information gaps and process bottlenecks, and providing practical input into approved improvements.
• Manage your workload, use relevant computer systems effectively and exercise initiative and judgement to meet established priorities and timeframes.

How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
1. Demonstrated experience providing high-quality administrative and coordination support in a project, program or similarly complex operational environment, including coordinating processes, maintaining accurate records and progressing actions within agreed timeframes.
2. Strong organisational and time management skills, with the ability to manage their own workload, prioritise competing demands, maintain accurate documentation and deliver high-quality work in a busy and changing environment.
3. Proficiency in the use of computerised systems and applications, including the Microsoft Office Suite, with the ability to enter, track, retrieve and use information to support project activities, routine reporting and team functions.
4. Well-developed communication and interpersonal skills, including the ability to build productive working relationships and provide clear, accurate and consistent operational information and guidance regarding relevant TAFE Queensland services, participant pathways and apprenticeship and traineeship administration to project teams, regional staff, applicants, participants and external stakeholders.
5. Proven ability to work independently and collaboratively, exercising sound judgement and discretion when handling sensitive information, and analysing and interpreting routine project, participant and operational information to identify recurring issues and inform process improvement opportunities.
Qualifications / Requirements
Mandatory requirement:

The following requirements, whilst not mandatory, would be regarded as advantageous in this role:
• Previous experience working in vocational education and training, government-funded programs or another regulated environment
• A qualification in project management, business administration or a related discipline, or equivalent relevant experience.
