Service Coordinator - Spare Parts

About the role

You will be the key point of contact for spare parts coordination, ensuring service teams have the right parts available to support preventative maintenance, breakdown repairs, installations, and service contracts. You'll work closely with Field Service Technicians, Service Managers, suppliers, and customers to keep operations running smoothly and deliver exceptional customer outcomes.

Key responsibilities

• Coordinating spare parts requirements for service and maintenance activities

• Processing and managing parts orders for preventative maintenance, breakdowns, installations, and other service-related activities

• Scheduling and dispatching parts against service orders

• Liaising with suppliers and internal stakeholders to ensure timely delivery of parts

• Supporting Field Service Engineers with parts availability, delivery updates, and technical enquiries

• Creating Time & Material quotations and managing order processing activities

• Completing service order closure, invoicing, and related administrative tasks

• Maintaining inventory controls, including warehouse min/max stock levels

• Providing exceptional customer service and handling inbound enquiries

• Supporting the Technical Support Manager with administrative duties as required

About you

• Previous experience in a Service Coordinator, Customer Service, Parts Coordinator, Logistics Coordinator, or similar support role

• Strong organisational and time management skills, with the ability to manage multiple priorities

• Excellent communication and stakeholder management skills

• A proactive approach to problem-solving and customer service

• Experience working with ERP, service management, or business systems

• Intermediate Microsoft Office skills

• High attention to detail and accurate data entry capabilities

• Ability to work independently and collaboratively within a team environment
