We’re looking for an experienced Logistics Administration Officer to join our team on a 12-month fixed-term contract. Reporting to the Logistics Coordinator, you’ll play an important role in keeping our inbound supply chain moving by coordinating shipments, maintaining accurate inventory information, resolving discrepancies and keeping suppliers, freight forwarders and internal teams informed.

About the Role

In this role, you will:

• Coordinate and administer domestic and international shipments from various countries including USA, Asia and Mexico.

• Coordinate and administer shipments from supplier readiness through to delivery and inventory receipting.

• Liaise with suppliers, freight forwarders, shipping agents and internal teams to support timely collection, consolidation and delivery of stock.

• Prepare and maintain accurate freight bookings, shipment documentation, purchase order due dates and shipment records in Pronto.

• Process inventory receipts and shipment costing documentation accurately and within required timeframes.

• Monitor freight costs, transit times, delivery schedules and supply chain risks, escalating potential issues before they affect stock availability.

• Investigate and resolve shipment shortages, pricing discrepancies and documentation issues with suppliers and relevant stakeholders.

• Maintain the order summary report and provide timely shipment updates to support business planning and decision-making.

• Obtain and compare freight quotes (air and sea) and identify opportunities to improve shipment consolidation, cost and delivery timing.

• Provide operational support and coverage for the Logistics Coordinator as required, including New Zealand shipment administration, logistics projects and process improvements.

About You

You understand that strong logistics administration is about more than updating a system - it's anticipating what could hold a shipment up and acting before it becomes a problem. You're organised, calm under pressure and known for getting the detail right.

You will also bring:

• At least two years' experience in logistics, supply chain, freight or inventory administration.

• Experience coordinating domestic and international shipments, customs documentation and import processes for a variety of countries.

• Experience with inventory management, purchase orders, stock receipting and shipment costing.

• Experience within a wholesale, retail or distribution environment is highly regarded.

• Strong numerical and problem-solving skills, with excellent attention to detail.

• The ability to manage multiple deadlines and confidently adapt when priorities change.

• Clear communication skills and the ability to build productive relationships with suppliers, freight providers and internal teams.

• Experience using ERP systems and Microsoft Office, with Pronto and intermediate to advanced Excel skills highly regarded.

• A current driver's licence.
