District Administration Assistant (Toowoomba)

Now, a little about the role:  

We're looking for an organised and customer-focused administrator to become the welcoming face of our Toowoomba office. In this varied permanent part-time role (30 hours per week across five days), you'll support veterans, volunteers and community members while helping keep our district operations running smoothly.  

Standard working hours are:

• Monday: 9:00am - 3:00pm
• Tuesday: 9:00am - 4:00pm
• Wednesday: 9:00am - 4:00pm
• Thursday: 9:00am - 4:00pm
• Friday: 9:00am - 2:00pm

This position is office-based, with occasional travel and out-of-hours or weekend work required to support district activities and events. Time worked outside standard hours is returned as TOIL.
 
Key Accountabilities: 

• Provide a high level of customer service to visitors, volunteers, veterans and community members
• Respond professionally and empathetically to inbound calls and enquiries
• Complete general office administration and coordinate incoming deliveries
• Assist with meetings, agendas, travel, accommodation, catering and follow-up actions
• Assist in the preparation of monthly and quarterly reports
• Update directories, collect data and prepare reimbursement claims, correspondence and documentation
• Participate in district activities and community events as required

What’s required to succeed:  

• Exceptional customer service supported by strong written and verbal communication skills
• Excellent working knowledge of Microsoft Word, Excel, Teams and Outlook
• Strong interpersonal and problem-solving skills
• A practical, proactive and self-starting approach to work
• Ability to work independently and as part of a team
• Physical ability to bend and reach above shoulder height carrying 5-7kg
• Current Australian driver's licence
• Valid Working with Children Check (Blue Card), or ability to obtain one
• Ability to undertake occasional travel and weekend work
