About the Role
Turbid Water Solutions is seeking a highly organised and proactive Business Support Coordinator to join our growing Water Solutions team on the Sunshine Coast. This opportunity is available as either a full-time permanent position or a part-time role, offering flexibility to suit the right candidate.
This is a diverse and hands-on role that provides critical support across business operations, project delivery, client service, scheduling, financial administration and office management functions. Working closely with technical staff, project managers, field technicians and external stakeholders, you will play a vital role in ensuring the smooth day-to-day operation of the business and maintaining high levels of service for our clients.
You will enjoy variety in your work, taking ownership of administrative and operational processes while partnering with a multidisciplinary team to support project delivery and business growth.
Key Responsibilities
Business Administration & Client Support
Serve as the first point of contact for client enquiries, visitors and incoming telephone calls.
Manage the shared business email inbox and coordinate enquiries to the appropriate team members.
Provide high-quality administrative support to technical and project delivery teams.
Coordinate meetings, prepare agendas, record minutes and track action items.
Assist with preparation of correspondence, reports, presentations and business documentation.
Conduct research and gather information to support operational and project requirements.
Support business development activities, proposals, tenders and client submissions.
Project & Operational Coordination
Support Project Managers with project administration and coordination activities.
Liaise with clients, suppliers, subcontractors and councils on behalf of project teams.
Manage job control systems including quotations, work orders and project documentation.
Coordinate technician scheduling and resource allocation in consultation with operational leaders.
Support the effective coordination and administration of field operations and service delivery activities.
Monitor workflow requirements and assist teams in meeting project deadlines and client expectations.
Financial Administration
Coordinate monthly client invoicing and billing activities.
Manage supplier invoices and facilitate approval processes.
Undertake debtor follow-up activities prior to escalation to management.
Assist with month-end financial administration and reporting requirements.
Support management by collating financial and operational data for reporting purposes.
Procurement, Inventory & Asset Management
Coordinate ordering and procurement of office supplies, equipment and project materials.
Manage stock control, inventory records and replenishment activities.
Coordinate supplier relationships and purchasing requirements.
Support inventory management of equipment, chemicals and operational consumables.
Manage office assets and assist with tracking business equipment and resources.
Office & Facilities Management
Ensure the efficient day-to-day operation of the Sunshine Coast office.
Coordinate facilities management, maintenance requests and office services.
Manage office consumables and maintain suitable inventory levels.
Liaise with external IT providers to coordinate issue resolution and support business continuity.
Assist with workplace health and safety initiatives and maintain a safe workplace environment.
People, Travel & Event Coordination
Support employee onboarding and offboarding processes.
Coordinate corporate travel, accommodation and logistical arrangements.
Assist with organising conferences, corporate functions and team events.
Coordinate conference materials, marketing resources and event requirements.
Provide administrative support across business units as required.
About You
You are an organised and adaptable professional who enjoys being the central point of coordination within a busy team environment.
You will bring:
Previous experience in an administration, business support, office coordination, executive assistant or similar role.
Strong organisational and time-management skills with the ability to manage competing priorities.
Excellent verbal and written communication skills.
A customer-focused approach and strong stakeholder management capability.
High attention to detail and a commitment to delivering accurate work.
Strong problem-solving and decision-making skills.
Ability to work independently while supporting a collaborative team environment.
Intermediate to advanced Microsoft Office Suite skills.
A proactive and flexible approach to supporting business operations.
Knowledge of Quality Assurance systems and processes (desired).
Required Education & Experience
Experience within professional services, engineering, consulting, construction, infrastructure or technical environments.
Experience supporting project delivery teams and coordinating multiple internal and external stakeholders.
Desirable
Certificate III or Diploma in Business Administration or a related discipline. Exposure to invoicing, scheduling, procurement, inventory control and project administration activities.
Exposure to financial administration, debtor management or reporting processes.
