Customer Service & Administration Coordinator – Holi Colour Powder

We are looking for a friendly, organised and proactive Customer Service & Administration Coordinator to join our team and support our growing Holi Colour Powder wholesale business.

This is a varied, hands-on role suited to someone who enjoys working with customers, keeping things organised and taking ownership of tasks from start to finish. You will be an important point of contact for our customers while also providing administration and accounts support across the business.

No two days will be exactly the same, so we are looking for someone who is adaptable, confident communicating with customers and happy to jump in and help wherever needed.

As our Customer Service & Administration Coordinator, you will be responsible for supporting customers throughout the ordering process, from initial enquiries and quotes through to invoicing, payment and delivery.

You will also assist with general office administration, reception duties and accounts receivable, working closely with our Senior Bookkeeper and wider team.

Customer Service & Holi Colour Powder Orders

• Process customer orders for our Holi Colour Powder wholesale online store.
• Respond to customer enquiries via phone and online channels in a friendly and professional manner.
• Prepare and assist with customer quotes.
• Assist customers with product, order and invoicing enquiries.
• Provide updates regarding orders, deliveries and tracking.
• Assist customers in resolving delivery issues and liaise with relevant parties where required.
• Ensure customers receive a high standard of service throughout the entire ordering process.

Accounts & Invoicing Support

• Prepare and issue customer invoices.
• Follow up outstanding customer payments in a professional and timely manner.
• Assist the Senior Bookkeeper with accounts receivable invoicing through Xero.
• Respond to customer enquiries relating to invoices and payments.
• Maintain accurate customer and payment records.
• Escalate overdue or problematic accounts when required.

Reception & Administration

• Answer incoming telephone calls and direct them to the appropriate team member.
• Maintain organised records and administrative systems.
• Assist with general office coordination as required.
• Complete other reasonable ad hoc administrative duties as assigned.

We are looking for someone who is naturally helpful, organised and comfortable taking responsibility for their work.

You will ideally have:

• Previous experience in customer service, administration, accounts support or a similar role.
• Strong written and verbal communication skills.
• A professional and friendly telephone manner.
• Excellent organisation and time-management skills.
• Strong attention to detail and accuracy.
• Confidence communicating with customers regarding invoices and outstanding payments.
• The ability to prioritise multiple tasks and manage a varied workload.
• Good computer and general Microsoft Office skills.
• Experience using Xero would be highly regarded.
• Experience with online orders, e-commerce or wholesale customers would be advantageous.
• A proactive attitude and willingness to help other members of the team.
• The ability to work both independently and collaboratively.

You will be someone who takes ownership of customer enquiries rather than simply passing them on. You will follow orders through, keep customers informed, ensure invoicing is completed accurately and help resolve issues quickly and professionally.

You will also help keep the administration side of the business running smoothly and provide reliable support to the accounts and wider team.
