About the role
At St John of God Midland Public Hospital, we provide a comprehensive range of services including emergency medicine, critical care, day chemotherapy, paediatric care, aged and stroke care, maternity and general surgery.
Our 307-bed public hospital is operated under a public-private partnership between the State Government and St John of God Health Care.
Our Services include wide range of public health care services for people in Midland and surrounding communities. Our services include 24-hour emergency care, public maternity care, Aboriginal pregnancy and maternity support through Moort Boojari Mia, acute mental health treatment and medical and surgical care.
About the role
In this role, you will provide dedicated administrative support to our Maternity Outpatients Service, working exclusively with antenatal and maternity patients while coordinating and delivering high-level administrative and clerical support to ensure the department operates smoothly and efficiently.
You will play a vital role in supporting timely, well-organised and compassionate care, managing specialised maternity appointments, referrals and patient pathways, while working closely with midwives, obstetricians and multidisciplinary teams to support women and families throughout their maternity journey.
Key responsibilities
Provide a reception service to meet the daily requirements of the Maternity Outpatients Service.
Create and maintain patient information and specialised maternity records within the Patient Administration System.
Coordinate appointments for antenatal clinics, diabetes clinics, vaccination services and maternity-related specialist appointments.
Manage specialised maternity referral pathways and ensure referrals are processed accurately and within required timeframes.
Monitor and manage waitlists, ensuring patients are booked within clinical timeframes and escalating any concerns as required.
Coordinate education and orientation classes for expectant parents.
Monitor and manage departmental emails and action enquiries in a prompt and professional manner.
Receive and respond to outpatient-related telephone enquiries, initiating appropriate action as required.
Manage time-critical bookings and appointment changes in response to emergencies, clinical priorities and individual birth plans.
Work collaboratively with midwives, obstetricians and multidisciplinary teams to support the delivery of exceptional maternity care.
Skills and experience
You will bring proven experience in clerical, reception or administrative roles, with a strong focus on customer service and attention to detail. You will be highly organised and able to effectively prioritise competing demands within a busy healthcare environment. Experience coordinating appointments, managing confidential information and working with computerised administration systems will be highly regarded.
You will possess excellent communication skills and enjoy working collaboratively with clinical and non-clinical teams. Knowledge of medical terminology, patient confidentiality principles and healthcare administration processes will support your success in this role. Experience using Patient Administration Systems and Microsoft Office applications, including Word, Outlook and Excel, is desirable.

We can offer you
Salary: $71,352 to $77,022 pro rata, plus 12% superannuation
Permanent part-time opportunity with work hours scheduled between 7:00am and 8:30pm, Monday to Friday.
