About the role
The Receptionist will be the first point of contact for the organisation for both internal and external stakeholders. The role requires providing a professional, efficient, and effective service to meet the needs of the stakeholders presenting to our Perth Branch.
The role’s responsibilities include offering administrative support across the organisation, welcoming volunteers and people who visit the organisation. You will coordinate front-desk activities, including distributing correspondence and redirecting calls.
This is a permanent part time role for 0.6 FTE
Key responsibilities
Administration
Leads an efficient and friendly reception service, answering phones and queries, and promptly attending to reception visitors.
Undertakes responsive general office administration duties, including incoming and external mail requirements, liaising on phone support to trouble shoot problems, ordering and maintaining stationery requirements and maintaining an inventory of stock, ordering and maintaining kitchen supplies, oversight of meeting rooms and communal areas ensuring work sites are clean and free of hazards.
Manages general email and calendar for info@ inbox, daily maintaining, distributing and answering emails.
Follows filing and recording procedures in Sharepoint and regularly reviews, maintains, and improves the electronic and hard copy filing system ensuring information is readily accessible.
Assists with Foodbank WA projects and adhoc tasks as required and directed by the Executive Assistant.
Ensuring visitors and contractors sign in on arrival in the reception area and have the appropriate PPE.
Perform other clerical receptionist duties such as filing, scanning, photocopying and data entry.
Coordination
Supports with the coordination of uniform requirements and maintains an accurate register of PPE provided to employees.
Supports with room bookings and equipment set up and water/catering for external and onsite functions, social club events, meetings, and training.
Assist with contractors, volunteers and other visitors that require meet and greets.
Assisting with issuing regular volunteers with QR Codes and demonstration with how to use.
Meet and greet corporate volunteers and liaise with warehouse teams upon their arrival, and assist Fundraising department with corporate group photos
Issuing and managing volunteer Fluro vests at reception when they arrive each day.
Provide support to card holder clients with regards to public transport enquiries.
Assists the Executive Assistant in ordering and maintaining uniform
Essential Criteria:
A demonstrated high level of competency using Microsoft Office suite including Outlook, Word, Excel, and PowerPoint.
Ability to maintain confidentiality and exercise discretion.
Advanced time management skills.
To have a passion to make a difference in WA, within a Non-Profit Organisation.
Desirable Criteria:
Experience with CRM software (e.g., Salesforce).
Previous experience working in a similar role.
Understanding of not-for-profit organisations and community based Human Services Provision.
Experience in working with, and communicating with, organisations at a wider community level, including industry, government, and professional bodies.
Solution focused with a passion for innovation and continuous improvement; and
Awareness and understanding of Foodsafe food handling.

Other Requirements:
Must be an Australian Citizen/ Permanent Resident.
Hold valid Australian work rights.
National Police clearance; and
Medical assessment of current health.
