About the role

We are seeking a dedicated and professional Medical Receptionist to join our team at Diagnostic Endoscopy Centre in Darlinghurst NSW. This is a full-time position that plays a crucial role in creating a positive first impression for our patients and supporting the smooth operation of our facility. As Medical Receptionist, you will be the primary point of contact for patients, managing their experience from the moment they arrive. This role is integral to our commitment to patient care and operational excellence, serving as the link between our clinical team and our patients.

Key responsibilities

• Greeting patients warmly and professionally upon arrival and ensuring they are registered and checked in efficiently

• Managing patient appointments, including scheduling, confirming, rescheduling and cancellations using our electronic booking system

• Collecting and verifying patient information, medical history and insurance details with accuracy and discretion

• Processing patient payments and handling financial transactions including invoicing and insurance claims submission

• Answering telephone enquiries professionally, providing information about procedures and assisting with appointment bookings

• Maintaining confidentiality and adhering to all privacy and data protection regulations including Health Records Act compliance

• Coordinating with clinical staff to ensure smooth patient flow through the centre

• Managing correspondence and administrative documentation related to patient records

• Maintaining a clean, organised and welcoming reception area

• Supporting the medical team with general administrative tasks as required

What we're looking for

• Previous experience as a medical receptionist or in a healthcare reception environment

• Excellent communication skills with the ability to interact professionally with patients, families and healthcare professionals

• Strong organisational and time management abilities with the capacity to manage multiple tasks in a busy environment

• Proficiency with computer systems and medical practice management software (training will be provided)

• Knowledge of medical terminology and familiarity with healthcare procedures and protocols

• Ability to handle sensitive patient information with discretion and maintain strict confidentiality

• Excellent customer service skills with genuine empathy for patients' needs

• High level of accuracy and attention to detail when managing patient records and data

• Flexibility and adaptability in a fast-paced clinical environment

• Current Australian Working Rights

• Preferred: Certificate III in Medical Administration or Healthcare Administration
