Inspection Administration Coordinator

What you'll be doing:

• Attend Sell-to Carma sites, supporting the coordination and administration of inbound inspection appointments.
• Act as a point of contact for customers on-site, ensuring a smooth and professional experience throughout the inspection process.
• Coordinate inspection flow on-site, ensuring appointments run on time and all required steps are completed.
• Input and update all relevant systems with vehicle and inspection details, including uploading photos and documentation.
• Verify vehicle and customer information, ensuring accuracy and integrity across all records.
• Collect and review required compliance documents including registration papers, logbooks, and licences.
• Track inspection progress and follow up on any missing information to ensure timely completion.
• Support Inspectors by ensuring all required inspection data is available for decision-making.
• Assist in facilitating the purchase process by entering vehicle details and supporting payment workflows where required.
• Work closely with the wider team to manage site operations and maintain efficient workflow across high-volume locations.
• Provide general administrative and operational support to ensure inspections are completed accurately and efficiently.

• Strong attention to detail and ability to follow structured processes
• Confident communication skills, with the ability to engage customers and support on-site operations
• Strong organisational skills and ability to manage multiple tasks simultaneously
• Comfortable working in a site-based, fast-moving environment
• Tech savvy and able to quickly learn and use new systems
• Self-motivated with the ability to work independently and as part of a team
• Flexibility to travel between Sydney inspection sites
