About the role
Infinity Fire Protection is seeking an organised and proactive Defect Coordinator to join our growing team and support the delivery of our Homes NSW fire services contract.
This is a dedicated defect management position responsible for coordinating identified fire safety defects from initial reporting through to quotation, approval, completion and close-out. You will work closely with our Contract Manager, supervisors, technicians, subcontractors and client representatives to ensure defects are managed accurately and within contractual requirements.
Key responsibilitiesReview, validate and prioritise fire safety defects identified through scheduled maintenance and reactive service activities.
Prepare accurate quotations using the applicable contract Schedule of Rates (SOR).
Ensure quotations contain the correct scope, quantities, supporting photographs and defect documentation.
Submit quotations for client review and monitor outstanding approvals.
Monitor defects to ensure contractual response and completion timeframes are achieved.
Maintain accurate defect records, system updates, notes, photographs and supporting documentation.
Review completed defect works to ensure all required information has been provided before close-out.
Identify overdue or at-risk defects and escalate them promptly.
Provide regular client reporting on defect status, quotations, approvals, completed works and outstanding items.
Assist with defect reconciliation, progress reporting and contract performance reporting.
Work closely with operational and compliance teams to support consistent service delivery.
Ensure all defect activities comply with company procedures, contractual requirements and relevant fire safety standards.
You will be a strong communicator who can manage competing priorities and maintain attention to detail in a fast-paced service environment.
The successful candidate will ideally have:
Previous experience coordinating defects, quotations, maintenance services or trade-based activities.
Experience preparing quotations using a contract Schedule of Rates.
Strong organisational, scheduling and time-management skills.
Excellent written and verbal communication skills.
The ability to manage a high volume of defects and changing priorities.
Strong attention to detail and a commitment to accurate documentation.
Confidence in communicating with technicians, subcontractors, clients and internal stakeholders.
Sound computer skills, including Microsoft Outlook and Excel.
Experience using job management platforms such as Uptick or similar systems.
Fire protection, social housing or essential services experience will be highly regarded.
A full-time position within a stable and growing fire protection business.
