Operations Assistant

Our client is a well-established manufacturing and installation business based in Yandina, with a busy production floor and an active site delivery program. As the business continues to grow, they are creating a brand-new Operations Assistant role to keep procurement, freight and project administration running cleanly behind the scenes.

This is a genuinely newly created position, so you will have the chance to shape how it works from day one. Hours are Monday to Friday within school hours, with flexibility on the exact start and finish times for the right person.

About the Role
Reporting to the General Manager, you will be the central point that keeps purchase orders, freight and project paperwork moving accurately and on time. You will also give the Production and Installation teams clear visibility of what is due and when, so nothing slips between the two.

It is a varied, hands-on role with a strong service focus. You will not be setting priorities or making purchasing decisions, but you will own the process that makes those decisions happen on time.

Key Responsibilities

• Answer phones and provide general front of house and office support
• Compile and scan completed project files and maintain SWMS documentation
• Respond to inbound customer queries and provide accurate status updates
• Manage the variations handover process between administration and installation
• Process stock sale orders end to end
• Book and coordinate freight logistics for production and installation work
• Track production and installation schedules and communicate status clearly between both teams
• Follow up outstanding purchase orders with suppliers and keep delivery timelines on track
• Raise purchase orders based on decisions made by the Production and Installation teams, with next business day turnaround

About You

• Solid administration experience in a manufacturing, construction, trades or similar operational environment
• Proven scheduling experience across multiple systems and platforms
• Confident raising and tracking purchase orders, and comfortable following up suppliers
• Well organised, with the ability to juggle competing deadlines without losing accuracy
• Clear, friendly communicator who can keep two busy teams informed
• Strong customer service manner, in person, over the phone and by email
• Competent with job management or ERP systems, and good general computer skills

Desirable

• Experience coordinating freight or logistics
• Exposure to project documentation or SWMS and site compliance paperwork
