About the role
Stuartholme hosts a variety of school functions and events, in addition to hiring out school facilities to members of the public. Activities and events can be formal and informal and may include morning and afternoon teas, corporate events or key internal events such as Valedictory or Celebration of Excellence.
The Events Coordinator will play a critical role in the coordination and successful implementation of school functions and events. To meet the dynamic requirements of this role, flexibility of working hours, including evening, weekends and non-term time periods is necessary. The position plays a key role in supporting the Operations Manager with the planning, coordination and subsequent success of Stuartholme's functions and events.
Key responsibilities
Plan and coordinate events for Stuartholme School
Assist the responsible Event owner in the successful scoping, planning and execution of a range of internal events
Work collaboratively with stakeholders to ensure that client expectations are clearly understood, communicated to relevant service providers and delivered on
Monitor facilities bookings and liaise where necessary with stakeholders to clarify their requirements for events and activities, providing proactive guidance with respect to all aspects of their booking
Develop and manage effective working relationships with internal and external stakeholders to ensure that venue bookings, bump-in/bump-out strategy, catering, audio visual (IT), security, cleaning, etc are effectively coordinated
Ensure school calendar reflects accurate details of functions and there are no double bookings
Prepare a weekly event report
Actively participate on relevant event committees for example the Celebration of Excellence, Open Day and Madeline Sophie Day Committees
Maintain an awareness of the legal responsibilities relevant to events, specifically in relation to service of alcohol duty of care and workplace health and safety issues, as well as ensure all School policies are adhered to
Create and implement systems and checklists that support successful venue hire management processes from end to end

You must hold or be eligible for a Blue Card (Queensland's Working with Children check) for this role.
