KM Surgical Pty Ltd is a well-established and growing specialist medical practice based in Wantirna. With a team of two doctors and a strong focus on providing high-quality, patient-centred care, we are seeking an experienced Medical Secretary to join our close-knit team.

This is an excellent opportunity for an organised, proactive and experienced medical administrator who enjoys working in a busy specialist practice and takes pride in providing exceptional support to both patients and medical practitioners.

About the Role

As an experienced Medical Secretary, you will play an integral role in the day-to-day operation of the practice. You will provide comprehensive administrative and secretarial support to our doctors while ensuring patients receive a professional, efficient and welcoming experience throughout their journey.

The successful candidate will be confident working independently, managing competing priorities and taking ownership of their responsibilities.

Key Responsibilities will include:

• Scheduling and coordinating patient appointments and theatre bookings
• Managing patient enquiries and correspondence in a professional and timely manner
• Maintaining accurate and up-to-date patient records
• Processing billing, invoicing and other administrative requirements
• Preparing quotes and supporting surgical billing processes
• Liaising with hospitals, specialists, GPs, healthcare providers, insurers and other external organisations
• Providing general administrative and office support
• Supporting the doctors and wider practice team with the smooth and efficient running of the practice

About You

We are looking for an experienced Medical Secretary who is reliable, self-motivated and highly organised, with the ability to work confidently in a fast-paced medical environment.

To be successful in this role, you will have:

• At least 2 years' experience as a Medical Secretary - essential
• Strong experience with Genie medical software - essential
• Experience with Clinic to Cloud is highly desirable
• Strong computer skills and the ability to troubleshoot and resolve basic software and system issues
• Experience with theatre bookings, surgical billing and medical quoting is highly regarded
• Experience using Eclipse for quoting/billing would be advantageous
• Excellent written and verbal communication skills
• A warm, professional and patient-focused approach
• Exceptional attention to detail and accuracy
• Strong organisational, time-management and prioritisation skills
• The ability to manage multiple tasks and competing deadlines effectively
• A proactive approach, with the initiative to identify issues and implement practical solutions
• The ability to work both independently and collaboratively as part of a small, close-knit team
• A genuine commitment to providing a positive and supportive patient experience

Australian work rights are required for this position.

A current police check is also required.
