About the role
This position is for a Medical Receptionist, working part-time from Monday to Thursday, 9am to 5pm, travelling between practices located in the North, South and West.
The role's key purpose is to provide an excellent customer experience to Aria Health clients as a receptionist, as well as administrative support to Aria Health clinicians so they can provide excellent healthcare for their patients. You will mostly collaborate face-to-face with clients in consulting suites in the inner northeast and southeast areas.
You will be provided with the necessary equipment such as a phone, computer, and fax/scanner. Additionally, you will receive partial reimbursement for your home internet expenses. A six-month probationary period applies.
Key responsibilities
Deliver a high level of customer service with patient enquiries at reception and over the phone or email, ensuring patients are received in a timely, courteous and professional manner
Maintain patient appointments, electronic records, referrals, scanning, opening, setup and closing of clinics
Communicate with patients/families/GPs/residential care facilities and other stakeholders
Maintain clinicians' schedules and calendars, including scheduling consultations
Prepare and deliver patient information and medical records in a timely manner
Coordinate referrals for appointments through Gentu
Ensure that follow-up appointments are scheduled within nominated timeframes
Be an escalation point for doctor and patient complaints
Ensure Practice stationery and stock supplies are maintained
Receive and lodge payments from patients, including Medicare claims
About you
Previous medical administration and receptionist experience, including knowledge of practice management software and Medicare billing
Proficiency with Microsoft Office and typing skills
Strong customer service, communication, teamwork, and interpersonal skills
Strong skills in organisation, prioritisation, and attention to detail
Ability to work independently
Ability to work in allocated clinics
A quiet and confidential space to work at when working from home
Reliable, flexible, and professional with excellent problem-solving skills

The successful applicants will be required to coordinate and carry out office administration tasks, including:
Delivering a high level of customer service with patient enquiries at reception and over the phone or email, ensuring patients are received in a timely, courteous and professional manner.
Maintaining patient appointments, electronic records, referrals, scanning, opening, setup and closing of clinics
Communicating with patients/families/GPs/residential care facilities and other stakeholders
Maintain clinicians' schedules and calendars, including scheduling consultations
Timely preparation and delivery of patient information and medical records
Coordinates referrals for appointments through Gentu
Ensures that follow-up appointments are scheduled within nominated timeframes.
Be an escalation point for doctor and patient complaints
Ensure Practice stationery and stock supplies are maintained
Comply with Aria Health's quality management system
Receiving and lodging payments from patients, including Medicare claims
Administrative support to the clinicians as required, and troubleshooting issues
Working with the team to ensure all tasks are completed in a timely manner to a high, accurate standard
Assist in the management, direction, and operation of the reception desk to ensure quality service outcomes to both doctors and patients on a day-to-day basis while achieving cost and productivity targets
Initial troubleshooting for staff
Ensure that the medical centre facilities are always clean and tidy. Maintaining areas, supplies, equipment, and the environment.
Participate in training and performance management programs to ensure continuous improvement in service standards
Skills, qualifications and experience
We seek reliable, flexible, and professional medical administrative receptionist with excellent customer service, communication and problem-solving skills who can cater to the needs of older clients and busy clinicians.
The successful applicant must have:
Previous medical administration and secretarial experience, including knowledge of practice management software and Medicare billing.
Proficiency with Microsoft Office and typing skills.
Strong customer service, communication, teamwork, and interpersonal skills.
Strong skills in organisations, prioritisation, and attention to detail.
Ability to work independently.
