About the role
Location: Cremorne, VIC
Employment: Full-time, office-based
Reports to: Head of Sales, Australia
Salary: $100,000 + superannuation
We are looking for a highly organised and proactive Commercial Operations Lead to manage the day-to-day operational requirements of our Australian commercial team.
This is a hands-on, office-based role responsible for keeping the operational side of our commercial activities running smoothly. Working closely with the Head of Sales and broader Australian team, you will coordinate everything that happens behind the scenes to help customer opportunities move efficiently from initial engagement through trials, contracting, onboarding and ongoing commercial activity.
As a growing business, some of our commercial processes are already well established, while others are still being developed. A key part of this role will be identifying where structure is needed, building practical processes and ensuring they are consistently followed across the team.
This is not a sales role and does not involve carrying an individual sales target or managing a pipeline of new business opportunities. Instead, you will be the operational backbone of the commercial team, making sure actions are followed up, documentation is completed, stock is available, systems are accurate and nothing is missed or unnecessarily delayed.
Coordinate the day-to-day operational requirements of the Australian commercial team.
Prepare and coordinate quotes, proposals, commercial agreements and customer documentation.
Track outstanding contracts, signatures, purchase orders and other commercial requirements.
Proactively follow up with internal teams and customers where required to keep opportunities moving.
Coordinate the operational requirements for customer trials, demonstrations and onboarding.
Maintain visibility of outstanding commercial actions and ensure they are progressed in a timely manner.
Take ownership of the coordination and administration of a small pool of Australian commercial stock and trial equipment.
Maintain an accurate register of available, allocated and deployed equipment across the Australian business.
Coordinate the dispatch and return of trial equipment and ensure upcoming trials and onboarding sessions have the required products and consumables.
Track the location and status of trial units.
Coordinate with internal teams on upcoming stock requirements and expected demand.
Identify potential stock shortages early and escalate requirements before they impact customer activity.
Coordinate consumables and accessories required for customer trials and commercial activity.
Work closely with Finance to ensure timely and accurate information is available on stock and equipment movements, additions, returns and disposals.
Coordinate commercial agreements from preparation through execution.
Track contracts requiring customer or internal action and proactively follow up on outstanding items.
Coordinate purchase orders, customer documentation and other requirements needed to progress an opportunity.
Work closely with Finance and other internal teams to ensure commercial documentation is complete and accurate.
Maintain organised records of agreements and customer documentation.
Maintain accurate customer, opportunity and activity information in Salesforce.
Support pipeline reporting and commercial forecasting.
Ensure opportunities have clear next steps, expected dates and relevant documentation recorded.
Follow up with the sales team on outstanding Salesforce updates and actions.
Assist with the preparation of regular sales and pipeline reporting.
Maintain visibility across trials, onboarding, active opportunities and upcoming commercial activity.
Act as a central coordination point between Sales, Clinical, Finance, Operations and Customer Support.
Coordinate internal actions arising from customer meetings and commercial activities.
Organise customer meetings, demonstrations, onboarding sessions and internal commercial meetings.
Coordinate the field team's calendar to ensure customer sessions, travel and internal commitments are organised efficiently.
Support travel and scheduling requirements for customer-facing activities.
Identify gaps in existing commercial processes and take ownership of developing, documenting and implementing practical processes that support the team as the business grows.
Work with leading organisations: Be part of a team working with some of the leading sporting, rehabilitation and healthcare organisations across Australia and New Zealand.
Opportunity to grow: We are a growing business, and as the Australian operation continues to expand, there will be opportunities to develop and grow within the organisation.
Be part of a global team: You will be part of an international business and will regularly collaborate with colleagues across different functions and regions around the world.
Make a real impact: This is a hands-on role where you will have significant visibility across the Australian commercial operation and the opportunity to directly improve how the team works.
We are looking for someone who is naturally organised, proactive and comfortable taking ownership.
You are someone who sees an outstanding action and follows it through rather than waiting to be asked. You enjoy bringing structure to a fast-moving environment and are comfortable working across different teams to get things done.
Ideally, you will have:
Experience in commercial operations, sales coordination, business operations or a similar role.
Excellent organisational and time-management skills.
Strong attention to detail.
Confidence following up with both internal and external stakeholders.
Strong written and verbal communication skills.
The ability to manage multiple priorities and deadlines.
A proactive, ownership-driven approach.
Experience using Salesforce or another CRM.
Strong Microsoft Office skills.
Experience working within a sales or commercial environment, particularly with elite sporting teams, rehabilitation clinics or healthcare organisations, would be highly regarded.
Success in this role means the Australian commercial operation runs smoothly.
Contracts are followed through and executed without unnecessary delays. Trials and onboarding sessions have the equipment they need, and the field team's calendar is well organised across customer sessions, travel and internal commitments. Stock requirements are identified before they become a problem. Salesforce accurately reflects what is happening across the business. Quotes, purchase orders and customer documentation are progressed quickly, and internal actions are consistently followed through.
Success also means the commercial operation becomes more structured as the business grows. Processes that do not yet exist are created, existing processes are improved where needed, and the team has clear and practical ways of working that are consistently followed.
You will become the person who has visibility across the commercial operation, knows what needs to happen next and takes ownership of making sure it happens.
