+ The Opportunity
We have an opportunity for a Reception + Office Coordinator to provide comprehensive administrative support across our Brisbane and Sydney teams.
The purpose of this role is to ensure our offices run in a smooth, professional and welcoming manner, while providing direct and positive support to our people in their day-to-day work.
This is a varied role that will suit someone who enjoys being across a broad range of responsibilities, takes pride in delivering a high standard of work and is willing to roll up their sleeves to get things done. You will work closely with the Senior Administrator and wider team, contributing to the smooth functioning of the business across office administration, employee support, marketing and project administration.
Your responsibilities will include:
Manage reception operations, including incoming calls and enquiries, while welcoming and assisting visitors, clients and suppliers.
Coordinate the day-to-day office environment, including meeting rooms, common areas, catering, stationery, groceries and other consumables.
Coordinate office equipment servicing, maintenance and repairs.
Support the Senior Administrator with employee onboarding and offboarding, contact database maintenance, travel bookings, training sessions and general office administration.
Provide marketing administration support, including updating staff CVs, project profiles and capability statements.
Provide project administration support, including project set-up and records, document formatting and proofreading, tender and proposal preparation.
Assist with document management and quality systems and processes.
Provide general administrative support across the business as required.
Undertake other ad hoc administrative duties as required.
+ What We’d Like
We are looking for an experienced administrator who can bring a high level of organisation, professionalism and initiative to the role.
The ideal candidate will have:
Minimum 5 years’ experience in reception and office administration, preferably within a consultancy or professional services environment.
Experience with document management and control.
Experience managing quality systems and processes.
Strong planning, coordination and organisational skills, with excellent attention to detail.
Excellent written and verbal communication skills, including proofreading and report-writing ability.
Strong proficiency in the Microsoft Office suite and the ability to quickly learn and adapt to new technology and systems.
Basic IT troubleshooting skills.
Experience supporting marketing or business development activities would be advantageous.
Experience with Adobe Creative Suite would be advantageous, but is not essential.
Experience within the built environment sector would be highly regarded.
The ability to manage competing priorities, work under pressure and meet tight deadlines.
The ability to work independently while also contributing positively as part of a team.
A high level of discretion and the ability to maintain confidentiality.
