The role

This role sits across two things that most people only do one of: finance and operations/production supply chain. 

On the finance side, you will own payroll, bookkeeping in Xero, end-of-month reconciliation, accounts payable and receivable, expense auditing, supplier invoice checks and end-of-month reporting. The books need to be clean and current at all times. 

On the operations and supply chain side, you will manage POs with contract manufacturers, liaise directly with suppliers on production runs, packaging and formulation, coordinate international freight from China and the US into Australia and vice versa, and reconcile what was ordered against what arrived. You will work with 3PLs, track stock and materials across multiple brands, and flag discrepancies before they become expensive. You will be responsible for demand planning for the business(es).

This is not a role where you specialise in one and dip your toes in the other. You need to be genuinely capable across both.

We also expect you to use AI tools actively, not occasionally. If you are not already using AI to reduce your admin load, speed up reconciliations, draft communications and find smarter ways to work, be prepared to for this role.

 What you'll own

• Payroll processing and payroll admin

• Bookkeeping and Xero reconciliation

• End-of-month reporting and AP/AR

• Cashflow forecasting

• Demand planning

• Expense auditing and supplier invoice checks

• PO creation and management with overseas manufacturers

• End-to-end production management, from in-house artwork coordination and sampling through to production, delivery to the warehouse, fulfilment readiness and launch

• Supplier relationship management — sourcing new suppliers, requesting and comparing quotes, onboarding vendors and maintaining ongoing relationships across multiple manufacturers, freight partners and service providers simultaneously.

• International freight coordination (China and US to AU and vice versa)

• Stock and materials reconciliation across 3PLs and finished goods

• Contract admin, NDAs, leave management and compliance records

Tools you'll use

Must have:

• Xero

• Excel

• Claude or equivalent AI tool

• Cin7 or similar inventory management system

Nice to have:

• Shopify Plus (or the ability to pick up our POS quickly)

• Asana

• Microsoft Office

• Slack

What we need:

• Strong Xero and bookkeeping experience

• Payroll experience

• Hands-on experience managing POs and liaising with overseas manufacturers or suppliers

• Comfortable managing international freight and shipments from multiple suppliers and manufacturers

• Experience with stock, inventory and 3PL reporting

• Active AI tool user; you use it daily, not as a novelty

• Background in FMCG, supplements, consumer goods, ecommerce or manufacturing preferred

• Detail-oriented, proactive and does not need to be chased

• Comfortable working directly with founders and senior leadership

• The ability to juggle multiple priorities and tasks

 Not for you if:

• You only want to do finance with no operations or supply chain involvement

• You only want to do supply chain with no bookkeeping or payroll

• You do not use AI tools in your day-to-day work

• You need a large team or clean systems before you can deliver

• You need to work from home

Working arrangements

This is a full-time, in-office role based in Sydney. If you do your best work alongside the team, this will suit you.
