As our business continues to grow, we are seeking a highly capable Assistant Development Manager & Executive Coordinator to support the delivery of development projects while working closely with our CEO and Development Director.
The Opportunity
This is a unique role that combines property development, project coordination, executive support and business operations.
You will work directly with senior leadership, gaining exposure across the full development lifecycle while becoming a trusted point of contact for project coordination, executive administration and strategic initiatives.
This is not a highly structured corporate environment. We are looking for someone who thrives in a fast-moving business, enjoys variety, takes initiative and can confidently manage competing priorities.
No two days will be the same.
Property Development Responsibilities:
Working alongside the development team, you will:
Assist with the coordination and delivery of residential development projects from acquisition through to completion.
Support project feasibilities, budgeting, forecasting and reporting.
Coordinate consultants including planners, engineers, architects, surveyors and contractors.
Assist with development approvals and planning processes.
Prepare project reports, presentations and meeting documentation.
Monitor project milestones, budgets, risks and timelines.
Conduct market research and due diligence investigations.
Support sales, marketing and project delivery activities where required.
Liaise with stakeholders including government authorities, consultants and service providers.
Current Project Focus
A significant focus of this role will be supporting the delivery and ongoing coordination of the Clear Island Project (Welcome to Clear Island, Gold Coast).
Responsibilities include:
Coordinating project administration and stakeholder communications.
Attending and supporting weekly project meetings.
Following up action items and maintaining project documentation.
Assisting with consultant and contractor coordination.
Supporting reporting and executive updates.
Executive Coordination & Administration
This role also provides high-level support to our CEO and Development Director (two different people).
Daily Responsibilities:
Manage and monitor multiple executive inboxes
Reviewing and redirecting emails where appropriate.
Monitoring and coordinating DocuSign documentation.
Coordinate domestic and international travel arrangements.
Tracking flight check-in reminders, boarding passes and travel schedules.
Manage executive itineraries in accordance with established preferences.
Registering and paying for seminars, workshops and industry events.
Ordering office supplies, books and professional development resources.
Coordinating office deliveries.
Running occasional business-related errands.
Future Growth Opportunities:
As the business continues to expand, the role may evolve to include:
Assisting with the management of private property portfolios.
Supporting additional executives and project team members.
Providing administrative support during periods of leave.
Assisting with personal property and asset management.
Supporting broader operational and strategic initiatives.
About You
You are someone who enjoys being the person who gets things done.
You can comfortably move between development projects, executive support, stakeholder management and business administration while maintaining attention to detail and a positive attitude.

Experience & Qualifications:
Qualification in Property, Construction, Project Management, Business, Commerce, Planning or a related discipline preferred.
Previous experience in property development, project coordination, executive support or a similar role.
Strong writing skills and understanding of Microsoft Office skills, particularly Excel, Word, Outlook and Teams.
Experience working in a fast-paced business environment.

Be agreeable to occasional calls or text messages outside standard office hours.
