Front Desk Officer

Zerella Fresh is one of Australia’s largest grower and packers of Carrots, Onions and Potatoes supplying Australia’s leading supermarket chains plus independents and exports.

We are currently seeking a motivated Front Desk Officer to join our team on a full-time permanent basis, supporting administrative operations at our Head Office in Virginia, South Australia.

The ideal candidate will be self-motivated, able to work both independently and as part of a team. Reporting directly to the Sales Administration Lead you will be supporting an expansive farm environment.

Duties include:

• Provide a professional, courteous and welcoming reception service to employees, visitors, contractors and customers.
• Provide administrative support to the Sales Lead related to sales administration and accounts receivable.
• Manage the reception area to ensure it remains professional, organised and presentable at all times.
• Monitor and manage general reception email inboxes and correspondence where applicable.
• Provide general administrative support to management and employees as required.
• Assist with preparing correspondence, documents, reports, presentations and other administrative materials.
• Receive, sort and distribute incoming mail and coordinate outgoing mail and courier services.
• Arrange stationery, office supplies and other consumables and maintain appropriate stock levels.
• Assist with data entry and maintaining accurate records within relevant systems.
• Ensure the staff kitchen always remains clean and presentable; including daily cleaning of the dishwasher, coffee machine, and ordering weekly supplies.
• Prepare weekly office lunch each Friday, ensuring supplies are included in the weekly order.
• Monitor pallet movements across the potato, carrot and onion packing sheds, and the Pooraka market store.
• Investigate discrepancies or missing pallets, maintaining accurate pallet inventory records and reports.
• Ensure all invoices, credit notes and adjustments are correctly entered into the accounting system.
• Maintain accurate customer account records, including contact details, payment terms and credit limits.
• Allocate customer payments and reconcile receipts against outstanding invoices.
• Assist with month-end processes, including accounts receivable reconciliations and reporting.
• Prepare adjustments and account corrections as required.
• All other requirements as directed to achieve business objectives.

Requirements:

• Minimum 2 years’ administrative, reception or accounts receivable experience in a similar role.
• Full and unrestricted driver’s licence (essential).
• Strong Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
• Strong interpersonal and communication skills, with the ability to communicate effectively with employees, managers, suppliers, customers and external stakeholders.
• Strong analytical, planning, problem-solving and decision-making skills.
• Ability to work independently while contributing effectively to a multidisciplinary team.
• Cultural adaptability and a willingness to work with a diverse range of stakeholders.
