Intravision is seeking a highly organised and proactive Project Support Officer to join our team working on a major construction project in Canberra. This role plays a critical part in supporting project delivery by coordinating documentation, managing project records, assisting with procurement activities, and maintaining strong relationships with internal teams, clients, and stakeholders.

About the Role

Project Coordination & Documentation

• Support Project Managers and the Cabling project team with day-to-day project administration.
• Coordinate the preparation, review, approval, and management of project documentation including drawings, manuals, certifications, and completion records.
• Assist with purchase orders, equipment procurement, project tracking, and handover documentation.
• Maintain accurate project files and records to support successful project delivery.

Project Planning & Administration

• Assist with project setup and initiation activities.
• Monitor action items and project deliverables, ensuring deadlines are tracked and communicated.
• Provide administrative support across multiple project activities.
• Prepare reports, templates, and documentation to support project teams and stakeholders.

Document & Data Management

• Create and maintain project folders and records within Microsoft 365.
• Gather, update, and manage project information and data.
• Develop and maintain client manuals, operation and maintenance manuals (OMMs), and project handover documentation.
• Manage project calendars, meeting schedules, and team communications.
• Develop templates and processes that improve efficiency and consistency across projects.

Stakeholder Engagement

• Build positive working relationships with clients, suppliers, and internal stakeholders.
• Assist with client communications throughout project delivery and handover phases.
• Support continuous improvement initiatives by gathering feedback and identifying opportunities to enhance project processes.

About You

You will be a motivated and detail-oriented professional who enjoys supporting project teams and delivering exceptional client outcomes.

• Experience in a Project Support, Project Administration, Project Coordination, or similar role
• Experience in construction, telecommunications, infrastructure, ICT, or related project environments will be highly regarded.
• Strong document control and administrative skills, with the ability to maintain accurate project records and communicate effectively with a diverse range of stakeholders.
• Excellent organisational and time management abilities.
• Advanced Microsoft Office and Microsoft 365 skills.
• Ability to manage multiple priorities and meet deadlines
• Experience in construction, telecommunications, infrastructure, ICT, or related project environments will be highly regarded.
• Experience preparing project documentation, manuals, and handover packs is advantageous.
• Australian resident with NV1 security clearance or ability to obtain.
