Executive support roles in Services Australia provide professional administrative support to Senior Executives and their business areas to enable them to effectively carry out their duties.
Roles include Executive Assistants, Executive Support Officers at the APS4 to APS6 levels, and Executive Officers at the EL1 to EL2 level.
These roles require high levels of professionalism, discretion, tact and diplomacy in dealing with sensitive and/or confidential matters.
Executive Assistants and Executive Support Officers (APS4 to APS6)
In these roles, you provide high-level administrative and operational support to a Senior Executive Service (SES) Officer to ensure their office operates efficiently and effectively. The role is fast-paced and requires the ability to manage competing priorities and tight timeframes in response to changing business needs.
You are responsible for comprehensive diary and meeting management, including coordinating meetings and appointments, arranging venues and travel, preparing supporting materials and providing secretariat support to meetings, committees and working groups as required.
You will also be responsible for managing communications and correspondence on behalf of the SES, including monitoring and responding to emails where appropriate, collating and following up information, and the tracking of high-volume activities to ensure deadlines are met.
In this role, you hold a position of trust and are required to exercise discretion and maintain confidentiality at all times. You build and maintain professional working relationships with senior staff and stakeholders across the agency and where required, with external organisations, to support effective communication, coordination and outcomes.
Executive Assistants and Executive Support Officers may also provide administrative support for the preparation of briefs, reports and minutes as well as records management, financial management and other general support functions.
Executive Officers (EL1 to EL2)
As an Executive Officer, you provide high-level strategic and operational support to Senior Executive (SES) officers on a wide range of issues affecting the agency. You will be required to undertake varying tasks, depending on the operational needs and individual preferences of the SES. The roles are typically fast paced with rigid timelines.
You may be required to lead a small team of support staff to deliver outcomes, and there may be times when work is required outside the traditional 9am to 5pm workday.
In this role, you will hold a position of trust and will be required to develop and manage professional relationships with senior staff and stakeholders, both internal and external to the agency. Maintaining close working relationships with the SES and their offices, the Minister’s office, Divisional, and Branch representatives is critical. You may also be required to provide secretariat services for executive meetings and forums.
In accordance with section 22(6) of the Public Service Act 1999, Services Australia requires applicants to be Australian citizens to be eligible for employment with Services Australia.
An applicant’s suitability for employment with the agency will be assessed through a pre-employment screening process. This process includes but is not limited to a national police history check, referee checks, code of conduct check and an employment history integrity check.
Some positions within Services Australia may be required to work in settings where mandatory vaccinations are required. Staff in such positions will need to demonstrate that they meet the vaccination requirements or have a relevant exemption.
Work location: The majority of positions are located in Canberra, ACT. From time to time, there may be vacancies in other locations, depending on business needs and requirements. You will be asked to nominate your location preference in your application.
Services Australia’s workforce operates using an agile approach, and all staff should be prepared to redeploy to critical frontline functions as required. Should you need to redeploy as part of the agency’s surge workforce, all learning and development and technical/pastoral support will be provided to you to enable you to undertake that work.
