Position Overview:

An established, family-owned Australian catering and events company is seeking an experienced Bookkeeper / Administrator to join its remote team.

The company has been operating since 2004 and employs more than 50 people, delivering full-service event catering and corporate and private catering services across Sydney. It is known for its high standards, strong team culture, and commitment to exceptional food and service.

This role is responsible for supporting the company’s day-to-day financial and administrative operations, including accounts payable, accounts receivable, payroll administration, reconciliations, reporting, and general business support.

The successful candidate will be highly organised, detail-oriented, proactive, and capable of working independently in a fast-paced remote environment. This position is best suited to someone who takes ownership of their responsibilities and maintains a consistently high standard of accuracy and professionalism.

Accounts Payable

• Process, verify, and accurately code supplier invoices in Xero.
• Match purchase orders with supplier invoices and delivery documentation.
• Prepare and schedule supplier payment runs according to agreed payment terms.
• Reconcile supplier statements and investigate discrepancies.
• Manage the Accounts Payable inbox and respond professionally to supplier enquiries.
• Maintain accurate supplier records, payment terms, and account information.
• Ensure supplier payments are processed accurately and on time.

Accounts Receivable

• Generate and issue accurate customer invoices within the required timeframes.
• Monitor debtor balances and proactively follow up on overdue accounts.
• Allocate incoming payments and reconcile receipts against outstanding invoices.
• Manage customer statements, payment reminders, collections communications, and escalations.
• Liaise with internal sales and operations teams to resolve billing disputes.
• Manage the Accounts Receivable inbox and respond promptly to customer enquiries.
• Process customer credit card payments and issue receipts when required.
• Use Caterease to support accounts receivable and debtors management processes.

Payroll Administration

• Process fortnightly payroll for permanent and casual employees using Employment Hero.
• Maintain accurate employee payroll records.
• Assist with employee onboarding administration.
• Review, approve, and allocate employee timesheets to the correct cost centres.
• Respond professionally and confidentially to payroll-related enquiries.
• Ensure payroll is processed in accordance with company policies and relevant legislative requirements.

General Bookkeeping and Administration

• Complete daily, weekly, and monthly bank reconciliations.
• Maintain complete and accurate financial records.
• Ensure transactions are recorded and allocated correctly.
• Prepare daily, weekly, and monthly operational and financial reports.
• Report on customer orders, service volumes, and key accounting metrics.
• Maintain organised electronic filing systems and financial documentation.
• Assist with general office administration and business support.
• Support management with ad hoc reports and administrative projects.
• Identify opportunities to improve bookkeeping and administrative processes.

Qualifications & Experience:

• A minimum of three years’ relevant experience in bookkeeping, accounts payable, accounts receivable, payroll administration, or a similar finance and administration role.
• Strong practical experience using Xero is essential.
• Experience processing payroll using Employment Hero, Xero Payroll, or a similar cloud-based payroll platform.
• Sound knowledge of bookkeeping principles, bank reconciliations, debtor management, and supplier payment processes.
• Excellent written and spoken English with a polished, professional communication style.
• Strong transactional problem-solving skills and experience resolving payment discrepancies and billing enquiries.
• High levels of data-entry accuracy and the ability to process a substantial volume of financial transactions.
• Strong Microsoft 365 skills, particularly Excel, Outlook, and Word.
• Working knowledge of Google Workspace and cloud-based collaboration platforms.
• The ability to work independently and meet strict deadlines in a remote environment.

The following experience will be advantageous:

• A qualification in Accounting, Bookkeeping, Finance, Business Administration, or a related field.
• Experience using monday.com.
• Previous experience using Caterease or similar catering and events management software.
• Experience in the catering, events, hospitality, logistics, or service-based industries.
• An understanding of event-driven workflows, fluctuating service volumes, and tight operational deadlines.
• Previous experience working remotely with an international team, particularly an Australian business.
• Familiarity with cloud-based document management and business administration systems.
