Assistant Property Manager

We are seeking an enthusiastic and dedicated Assistant Property Manager to join our dynamic Commercial Property Management team in Port Melbourne. The Opportunity

As the Assistant Property Manager, you will play a pivotal role in supporting the Property Management Team. This is a fantastic opportunity to develop your skills in a collaborative and fast-paced environment.

Key responsibilities:

• Assist the Property Management Team with the management of leasing and property management authorities, lease documents, and other documents and forms in compliance with legislation

• File incoming invoices for processing by the Accounts team and occasionally process time-sensitive invoices for payment

• Manage arrears, including preparing arrears reports, sending notices, and following up with tenants (via phone and email)

• Assist the property manager to maintain ESM compliance across the portfolio

• Ensure tenant records in the system are accurate and up to date

• Build and maintain strong, trusting relationships with both internal and external stakeholders

• Assist with general administrative tasks, such as maintaining property filing systems, registers, and databases

• Undertake other ad hoc duties as required

To be successful you will need: 

• Experience in administration (essential) and customer service (desirable)

• Strong organisational skills and the ability to manage and prioritise tasks

• High attention to detail

• A proactive attitude and excellent professional communication skills

• Intermediate proficiency in Microsoft Word and Excel

• Immaculate personal presentation and a high level of professionalism and integrity

• An Agents Representative Certificate (or willingness to undertake in the future)

• Tertiary qualifications in Building, Property, Accounting or Valuations (advantageous)
