Event Coordinator - The Fresh Collective Victoria

The Fresh Collective is seeking a passionate and organised Event Coordinator to join our Victorian Events team in a full-time position, reporting to the Senior Event Manager.

Based in Melbourne, you'll coordinate premium events across The Fresh Collective's portfolio of iconic venues and offsite events. This is an exciting opportunity for an experienced hospitality or events professional looking to build strong client relationships while delivering exceptional events from enquiry through to completion.

About the Role

As an Event Coordinator, you'll take ownership of an allocated portfolio of clients, managing each event from the initial brief through to successful delivery and post-event follow-up. You'll work closely with clients, chefs, venue managers, suppliers, and internal departments to ensure every event is executed to the highest standard while meeting commercial objectives and delivering an outstanding customer experience.

Success in this role comes from building lasting client relationships, maintaining accurate event documentation, coordinating multiple events simultaneously, and ensuring every detail is communicated clearly across the business.

Key Responsibilities

• Coordinate allocated events from enquiry through to final delivery
• Build and maintain strong relationships with clients, venue partners and suppliers
• Support client meetings, site inspections and event planning consultations
• Coordinate staffing, equipment hire and event logistics
• Prepare accurate event orders, invoices and client briefs within required deadlines
• Liaise with chefs, venue managers and operational teams to ensure seamless event delivery
• Attend events where required to support successful execution
• Conduct post-event client follow-up, gather feedback and identify future opportunities
• Maintain accurate client records, tasks and event information in Elite 
• Identify referral opportunities and contribute to achieving revenue and profitability targets

About You

• Previous experience coordinating events within hospitality, catering or venue operations
• Exceptional organisational skills with the ability to manage multiple events simultaneously
• Strong communication and relationship-building skills with a customer-first approach
• Excellent attention to detail and ability to meet deadlines in a fast-paced environment
• Commercial awareness with the ability to balance exceptional service and business outcomes
• Experience using Elite, Priava, Momentus or similar event management software is highly regarded
• Professional, proactive and solutions-focused with a genuine passion for hospitality
• Flexibility to attend site inspections and occasional evening or weekend events
