Team Leader - Emergency Department Administration

At John Fawkner Private Hospital, we are seeking an ED Administration Team Leader to play a pivotal role in the day-to-day management and coordination of our Emergency Department administration function. This position offers the opportunity to work alongside clinical and operational leaders to support outstanding patient care, exceptional customer service and efficient departmental performance.

About the Role

Reporting to the Administration Manager and working closely with the Emergency Department Nurse Unit Manager (NUM), you will provide hands-on leadership and operational support to a team of frontline administration professionals within our busy Emergency Department environment.

You will maintain a strong presence within the department, ensuring the delivery of high-quality administrative services including patient registrations, admissions, billing, health fund verification, patient enquiries and discharge processes.

In this key role, you will coach, support and develop team members while driving service excellence, operational efficiency and a positive workplace culture by:

• Leading, coaching and supporting the Emergency Department administration team
• Coordinating daily administrative operations and workflow management across shifts
• Acting as the first point of escalation for operational and customer service matters
• Ensuring accurate patient registrations, admissions, billing and receipting processes
• Conducting health fund and Medicare eligibility verification
• Working closely with Emergency Department clinical teams to support patient flow and operational outcomes
• Building positive relationships with patients, families, doctors and key stakeholders
• Partnering with Ambulance Victoria to support efficient patient handovers and administrative processes
• Monitoring administrative performance and identify opportunities for process improvement
• Supporting workforce planning, training, cross-skilling and business continuity initiatives
• Providing relief leadership support across broader Patient Administration functions when required

About You

You are a motivated and customer-focused leader who thrives in a fast-paced healthcare environment. You have a strong understanding of customer administration processes and can confidently balance operational priorities while supporting and developing your team.

Essential Criteria

• Demonstrated experience in healthcare, patient administration or hospital administration
• Experience with patient registration, admissions, billing and receipting processes
• Strong customer service and stakeholder management skills
• Excellent communication, organisational and problem-solving abilities
• Ability to work collaboratively within multidisciplinary teams

• High attention to detail and commitment to quality outcomes
• Previous Team Leader, Supervisor or people leadership experience

Desirable Criteria

• Experience in Emergency Department administration
• Knowledge of health fund eligibility, Medicare, DVA, WorkCover and third-party billing processes
• Experience using webPAS or similar patient management systems
• Certificate, Diploma or tertiary qualification in Business, Administration or a related field
