As a bid coordinator, you will work closely with the pre-construction team to create winning proposals for major construction projects across Sydney.

This is a unique position that works across graphic design, writing and copywriting, proofing, and coordinating key stakeholders to pull each project together.

Key Responsibilities

• Manage end to end coordination and production of Expressions of Interest (EOIs), capability statements and tender submissions and ensure that materials are submitted in required timeframes.
• Support the development of best practice submission guidelines and standards within the bid team through market research and sharing insights with the team.
• Manage and maintain the standard of high-quality submissions, facilitating the production and presentation of documents and supporting process improvements to increase quality.
• Ensure documentation is prepared in time to meet review dates and provision is made for the incorporation of updates and revisions.
• Ensure bids are compelling by sourcing relevant content from bid and project teams, and drafting responses that respond to all tender schedules.
• Identify key requirements, themes and critical points for each bid and coordinate the content, including all written material and technical descriptions from key notes provided by content contributors.
• Ensure that content, including technical language, is structured in a meaningful, clear and transparent way and is consistent with the Company ‘voice’.
• Maintain technical knowledge and remain up to date with the use of presentation technology (audio, visual, written) and software to ensure that content is presented to a high standard.
• Coordinate the review and approval of relevant documentation including tender documentation, technical documents, and employee CVs for use in submissions and in contractual and general correspondence.
• Support the successful completion of bids and tenders by liaising with key members of bid team to finalise management plans and supporting schedules for bids
• Support bid teams in their preparation for client presentations and workshops, including production of presentations and visual tools including videos, photos, and graphics.
• Create professional presentations and submission documentation using design software that complies with the company’s corporate identity and branding protocols.

Skills / Knowledge

• Strong administrative and design skills and a demonstrated ability to develop content that is meaningful, clear and compelling.
• An ability to manage workload with changing priorities and meet established and changing timeframes.
• Able to deliver high attention to detail with an emphasis on accuracy and thoroughness for written communications.

Education / Experience

• Experience as a bid, marketing or office coordinator, or related position
• Experience of working with the property, construction or associated sector would be beneficial
• Experience with Adobe in Design would be great to have, but not essential.
