About the role


National Intermodal is seeking an Office Support Assistant to join our team in the Melbourne office. Reporting to the General Manager, Beveridge Intermodal Precinct, you will provide administrative, reception and workplace support services that keep our office running smoothly day-to-day.

As the first point of contact for visitors, employees and contractors, you'll help create a professional, welcoming and well-organised workplace experience. Working closely with teams across the business, you'll support workplace administration, facilities coordination, onboarding and offboarding, and general operational support. This role suits someone with strong organisational skills, initiative, discretion, and the ability to build effective working relationships with people at all levels.


What you'll be doing

• Helping maintain a safe, professional and welcoming workplace environment.
• Coordinating facilities, office resources, company vehicle bookings, suppliers and service providers.
• Supporting onboarding and offboarding, including workspace, building access, equipment and technology coordination, and acting as a key liaison for day-to-day IT requirements.
• Acting as a central point of contact for employees, visitors, contractors and service providers, managing enquiries and general workplace communication.
• Supporting health, safety, security and compliance activities across the office.
• Providing broader administrative and operational support to the business.
• Coordinating workplace events, meetings and team activities.
• Identifying opportunities to improve systems, processes and the overall employee experience.

About you

• Demonstrated experience in an Office Manager, Office/Team Administrator or similar role, supporting the effective operation of a busy office or workplace environment.
• Experience coordinating facilities, suppliers, resources and technology.
• Experience supporting onboarding and offboarding processes.
• Strong organisational and time management skills, with the ability to juggle multiple priorities and competing deadlines.
• Excellent communication skills, with the ability to build positive relationships across all levels.
• Proficient in Microsoft Office (Word, Outlook, PowerPoint and SharePoint).
• Strong attention to detail, paired with a proactive, solutions-focused approach.
• Flexible, adaptable, and comfortable contributing to a collaborative, positive workplace culture.
