We're looking for an organised and proactive Permits Coordinator to join our Contracts & Compliance team and play a key role in ensuring our residential projects progress smoothly from documentation through to building approval.

About the Role
Reporting to the State Contracts & Compliance Manager, you'll be responsible for preparing and managing building permit applications and associated approvals, ensuring projects remain on track and compliant with all relevant regulations.
Working closely with internal teams, building surveyors, councils and external consultants, you'll coordinate documentation, manage approvals and contribute to delivering an exceptional customer experience.
Key Responsibilities
Prepare and lodge building permit applications and supporting documentation.
Coordinate planning permits, siting dispensations and other statutory approvals.
Liaise with building surveyors, councils and consultants to ensure approvals are obtained within agreed timeframes.
Manage Occupancy Permit applications and coordinate compliance certificates and documentation.
Monitor workflow timelines and maintain accurate records within ClickHome.
Respond promptly to internal and external enquiries.
Attend workflow meetings and collaborate across departments to keep projects progressing.
Identify opportunities to improve processes and support continuous improvement initiatives.
Provide administrative support and reporting as required.
About You
You'll be a highly organised professional who enjoys working collaboratively and managing multiple priorities.
Previous experience in residential construction, permits, contracts administration or a similar coordination role.
Sound understanding of Victoria's building permits and approval processes.
Knowledge of the National Construction Code (NCC), Building Regulations and local council requirements.
Exceptional organisational and time management skills.
Strong attention to detail and a commitment to accuracy.
Excellent communication and relationship-building skills.
Confidence working with multiple stakeholders and competing priorities.
Experience using ClickHome (or similar construction management software) is highly regarded.
