The House Call Vet is looking for an exceptional Client Care & Administration Officer to join our growing team.
This isn't simply a veterinary receptionist position.
Our Client Care team sits at the centre of our practice. They're often the first person a pet owner speaks to, they coordinate care across our house call and clinic teams, and they make sure clients feel informed, supported and looked after from their first phone call through to the completion of their pet's care.
We're looking for someone who combines genuine warmth and empathy with exceptional organisation, attention to detail and the confidence to solve problems.
Who We Are
The House Call Vet is a privately owned veterinary practice providing high-quality veterinary care across Brisbane through a unique combination of:
Mobile veterinary teams providing veterinary care in clients' homes
Two fully equipped veterinary clinics at Kenmore and Sunnybank
A large team of veterinarians, veterinary nurses and client care professionals
A diverse caseload ranging from routine preventative care through to complex medical and surgical cases
Our goal is simple: to provide an exceptional experience for our patients, our clients and the people who work within our team.
The Role
You'll be part of our Client Care & Administration Team, helping coordinate a busy veterinary practice while ensuring every client interaction is warm, professional and helpful.
A typical day might involve:
Answering phone calls and helping worried pet owners determine the appropriate next step
Booking and coordinating house call and clinic appointments
Asking the right questions to ensure our clinical team has the information they need before seeing a patient
Helping clients understand our services, appointment processes and what to expect
Coordinating multiple house call teams travelling across Brisbane
Organising schedules to minimise travel time and keep veterinary teams running efficiently
Monitoring appointments throughout the day and proactively contacting clients if plans change
Coordinating clinic appointments, procedures, hospital patients, admits and discharges
Responding to emails and online enquiries
Processing payments and assisting with insurance, medication and product enquiries
Supporting our vets and nurses with the administrative tasks that allow them to concentrate on patient care
It is a busy role requiring someone who can comfortably manage several priorities at once while remaining calm, friendly and accurate.
What We're Looking For
We're particularly interested in someone who is:
Exceptional with people.
You'll genuinely enjoy talking to clients and building relationships. You'll understand that someone contacting a veterinary practice may be worried, stressed or emotional, and you'll know how to communicate with empathy and confidence.
A natural problem-solver.
We don't want someone who simply takes a message and passes the problem to someone else. You'll take ownership of client enquiries, work out what needs to happen and make sure they reach a satisfactory resolution.
Highly organised.
Coordinating several veterinary teams, clinics, appointments and competing priorities requires excellent planning and time-management skills.
Detail-oriented.
A wrong address, phone number, appointment time or piece of medical information can have significant consequences in a veterinary practice. Accuracy matters.
Calm under pressure.
There will be busy phones, urgent patients, changing schedules and unexpected problems. You'll be able to prioritise what matters and remain composed.
A strong team player.
Our Client Care team works closely with our vets and nurses. You'll communicate proactively, anticipate what the clinical team needs and help make everyone's day run more smoothly.
Do I Need Veterinary Experience?
Previous experience in veterinary reception, veterinary nursing or another animal-care environment would certainly be valuable, but we're equally interested in people with exceptional client service and administration skills from other industries.
You might currently work in healthcare, medical reception, allied health, hospitality, customer service, professional services or another fast-paced environment where communication, organisation and problem-solving are essential.
What matters most is your attitude, capability and willingness to learn.
We'll teach you our systems and veterinary processes. It's much harder to teach genuine empathy, initiative and exceptional customer service.
