Logistics Coordinator

Hannay Douglas Pty Ltd exports a wide variety of fresh fruit and vegetables to various international markets.

Due to continued growth, we are seeking a Logistics Coordinator to join our fast-paced team. This role is responsible for ensuring the seamless coordination of logistics and documentation processes for exported goods, while providing administrative support for key business activities.

Export Documentation & Logistics

• No prior logistics or export documentation experience is required, this will be fully trained on the job.

• Coordinate and administer export documentation, including permits, government reports, invoices, job costing, and packing lists.

• Book and arrange freight movements (air, sea, and domestic) with shipping lines, air carriers, and transport providers.

• Liaise with customers, suppliers, regulatory bodies, inspectors, and freight companies to meet job requirements.

• Monitor shipments from booking to final delivery, ensuring compliance with deadlines and industry standards.

• Administer compliance related obligations, including Department of Agriculture (DoA) inspections, HACCP, HARPS, and Freshcare certifications.

General Administration & Support

• Maintain accurate internal records for export processes and customer/supplier details.

• Support internal teams with documentation, filing, archiving, data entry and other administrative tasks.

• Assist traders and the warehouse team with workflow management and scheduling.

• Perform internal audits and implement corrective actions where required.

• 1-2 years of experience in an administrative role is required. 

• High attention to detail, strong organisational skills and the ability to manage multiple tasks.

• Proficiency in Microsoft Office and data entry, with a proactive, problem-solving approach.

• Strong communication skills to liaise effectively with internal and external stakeholders.

• Ability to study for and pass Department of Agriculture testing for the Export-It program within six months. This study will be completed during work hours and you will be fully trained upon commencement.

• Must be eligible for Aviation Security (ASIC) clearance.

Desirable (but not essential)

• Certification or diploma in Business Administration, Logistics, or a related field.

• Ability to work oncall on weekends, as required. Weekend payrate applies. THIS IS OPTIONAL.

• No prior logistics, freight forwarding, export or perishable goods experience is essential. This will be fully trained on the job.

• Full training and support provided. 

• Laptop & mobile phone supplied.

• The role is a full time role, based in the Hannay Douglas office at Rocklea. Working hours each day have some flexibility for earlier starts.

Good onsite parking and less than 15min walk to Rocklea train station. Note - we prefer candidates who live within a 30-minute drive from Rocklea.
