We are seeking an organised, process-driven Planning and Administration Officer to join our Newcastle branch in Beresfield, NSW, and keep our labour planning and branch operations running smoothly.
The Opportunity
Reporting to the Branch Manager, you will manage workforce planning and rostering for the Newcastle branch and provide administration support to the Operations team. Working closely with the Branch Manager, you'll build the rosters that get crews to shutdowns and service jobs, and keep the branch's operational paperwork on track. The Role
As our Planning and Administration Officer, your responsibilities will include:
Building and managing rosters for shutdowns, projects and daily service work across multiple sites
Coordinating site inductions, medicals and training so crews arrive ready
Monitoring hours worked and adjusting rosters to meet fatigue guidelines
Sending daily and 3-week rosters to Hunter and Western Operations, and running the weekly regional planning meeting
Processing Daily Report Sheets, JSEQA and NAIR documentation, and Job Packs
Scheduling employee performance reviews and maintaining the Branch ROTB calendar
Supporting the Equipment Planner with vehicle registrations, service bookings and registers
Administering Drug & Alcohol testing for Operations employees, when required
What You Bring to the Team
We're looking for an organised planner who is comfortable moving between rostering, admin and phone calls without losing track of either.
To be successful, you will have:
Proven experience planning, scheduling or coordinating labour
Previous experience in an administration role
Cert IV in Frontline Management, Certificate III in Business Administration, or equivalent experience
First Aid and Drug & Alcohol Testing qualifications (or willingness to obtain them)
Strong Microsoft Word, Excel and Outlook skills
Excellent verbal and written communication skills
Ability to work to strict deadlines and manage competing priorities
