Our client is looking for an energetic, capable and solutions-focused Office Manager to take ownership of the day-to-day running of its Melbourne CBD office.

This is a true all-rounder role for someone who likes being at the centre of things. Based at front of house, you will be the person who knows what is happening, keeps the office moving and makes sure the team has what they need to do their jobs well.

From office operations and procedures through to tender coordination, software, suppliers and culture, you will be across everything.

The Company:
Our client is an established project management and advisory firm delivering projects across the property, infrastructure and construction sectors.

With a busy Melbourne CBD team, the firm is looking for an Office Manager who can become an integral part of the office, bringing organisation, energy and personality to the role.

The Role:
Sitting at the heart of the Melbourne office, this is a broad Office Manager position with plenty of variety and genuine ownership.

Your responsibilities will include:

• Managing the front desk and being the first point of contact for clients, visitors and the wider team
• Taking ownership of the presentation and smooth running of the office
• Coordinating suppliers, facilities and general office requirements
• Managing meeting rooms, office equipment and day-to-day logistics
• Keeping shared spaces and the kitchen organised, stocked and running properly
• Developing and improving office processes and procedures
• Supporting the team with systems and software
• Coordinating internal events, celebrations and team initiatives
• Helping drive office culture and keeping people connected
• Supporting tender and bid management, including coordination, documentation and deadlines
• Providing general administrative and operational support wherever it is needed
• Identifying problems before they become problems and finding practical solutions

This role suits someone who naturally notices what needs doing and gets on with it.

Foundation for Success:
You may already be an Office Manager, Team Coordinator, Executive Assistant or experienced Administrator ready to take ownership of an office.

More important than your exact title will be your attitude.

You will be:

• Confident with technology and able to pick up new software quickly
• Proactive and solutions-focused
• Warm, approachable and genuinely good with people
• Happy working in a front-of-house environment
• Comfortable getting involved in everything from tenders to office supplies
• Someone who takes pride in creating an organised, welcoming office
• Easy-going, fun and able to build relationships across different personalities and levels of seniority
• Naturally the person people turn to, across the detail, aware of what is happening and one step ahead of what the office function and team need

Experience within property, construction, project management or another professional services environment would be highly regarded, particularly if you have been exposed to "tenders or bid coordination".

Importantly, this is an office-based position, five days per week in the Melbourne CBD. It will suit someone who enjoys the energy and interaction of being around a team and wants to be part of the day-to-day culture.
