Join our growing team at BUSHY Landscapes! As a Graduate Project Coordinator, you will play a key role in supporting the project administration, invoicing and day-to-day coordination of our Bush Regeneration and Horticulture teams.

This is an office-based role working closely with our delivery teams, Operations Manager and Directors to ensure accurate invoicing, clear recordkeeping and smooth coordination between our field teams, clients and business systems.

Our clients include local councils, state government agencies and private landholders across the Greater Sydney region, with projects ranging from bushland restoration and ecological consulting to horticulture and garden maintenance. This position will help ensure the operational and financial administration of these projects runs seamlessly.

Responsibilities will include:

• Preparing, issuing and tracking client invoices through Xero.
• Reviewing timesheets, purchase orders, job records and project information to support accurate and timely invoicing.
• Maintaining accurate client, supplier and project records within Xero and other business systems.
• Assisting with accounts receivable, including monitoring outstanding invoices and following up payment documentation.
• Supporting project cost tracking and maintaining records of approved variations and additional works.
• Assisting with scheduling, team allocations and weekly project planning across our Bush Regeneration and Horticulture teams.
• Liaising with clients, including councils and private landholders, regarding invoicing, purchase orders, scheduling, reporting and project milestones.
• Preparing and collating reports, photographs, herbicide logs and compliance documentation.
• Ensuring clear recordkeeping and document management across projects.
• Supporting other general administrative and project coordination tasks as required.

Desired experience and qualifications:

• Experience using Xero or a similar cloud-based accounting platform is highly regarded.
• Some experience with invoicing, accounts administration, bookkeeping or financial recordkeeping is desirable.
• High attention to detail and accuracy when reviewing timesheets, costs, invoices and project records.
• Strong written and verbal communication skills.
• Excellent organisational and time-management abilities.
• Confidence using digital tools such as Google Sheets, Trello, WhatsApp and cloud-based systems.
• Ability to problem-solve, prioritise and adapt in a dynamic work environment.
• An interest in ecological restoration, environmental management or the landscape industry.
• Experience in environmental services, bush regeneration, project administration or contract administration is desirable but not essential.

Recent graduates from business, accounting, administration, environmental science, ecology, natural resource management or related disciplines are encouraged to apply.
