About the Role 

The IT Business Analyst acts as the primary link between the IT department and the wider business, translating business needs into clear, actionable system and application requirements. The role gathers and documents specifications, coordinates larger IT projects (including those involving client requirements), and works closely with business leadership to help prioritise IT’s workload against broader business objectives.

Key Responsibilities and Duties

Business Liaison & Requirements Gathering

• Liaise with IT and other business departments to identify and understand IT system and application improvement needs.
• Act as the first point of contact for business units raising system, process, or application improvement ideas.
• Translate business problems and opportunities into clear functional and technical requirements for IT to action.

Specifications & Documentation

• Facilitate the development of specifications with business stakeholders, ensuring requirements are complete, accurate, and agreed.
• Follow up with business units to obtain outstanding information needed to progress specifications or projects.
• Maintain clear documentation of requirements, decisions, and changes throughout each initiative.

 Project Management

• Manage larger IT projects from initiation through to delivery, including scope, timelines, risks, and stakeholder communication.
• Capture and manage client requirements where projects involve external client input or deliverables.
• Coordinate with technical teams, vendors, and business stakeholders to keep projects on track.

 Prioritisation & Business Alignment

• Work with leadership across the business to prioritise the IT work program in line with business priorities and resourcing.
• Provide regular updates to leadership and stakeholders on project status, risks, and outcomes.
• Support IT leadership in balancing competing demands from different business units.

Technical Competencies

• Working knowledge of requirements management and business analysis tools (e.g., Monday, Confluence, Azure DevOps).
• Familiarity with ITSM/ticketing platforms (e.g., ServiceNow, Freshservice, Zendesk) used to track and manage business requests.
• Ability to produce process maps, workflow diagrams, and wireframes (e.g., Visio, Lucidchart, Miro).
• Working understanding of the software development lifecycle (SDLC) and how requirements translate into build, test, and deployment stages.
• Proficiency with project management tools (e.g., MS Project, Smartsheet, Monday.com) for tracking scope, timelines, and resourcing.
• Intermediate data analysis skills (e.g., Excel, SQL, Power BI) to support requirements validation and reporting.
• General understanding of system integrations, APIs, and data flows between business applications.
• Awareness of IT security, privacy, and compliance considerations relevant to system and process changes.

Role Requirements

• Experience in a business analyst, systems analyst, or IT liaison capacity.
• Tertiary qualification in information systems, business, IT, or a related discipline (or equivalent experience).
• Demonstrated experience managing IT projects of varying scale, including those with external client requirements.
• Experience working directly with business stakeholders and senior leadership to gather, validate, and prioritise requirements.
• Strong written and verbal communication skills, with the ability to produce clear specifications and status reporting.
• Eligibility to work in Australia, and any required background or security checks.
