Front Desk Coordinator/ Reception Coordinator

About the role

The Front Desk Coordinator will work closely with the Practice Manager, clinicians, dental assistants and other front desk team members to ensure excellent communication and a consistently high standard of patient service. Front desk duties will be shared between team members; however, the Coordinator will be responsible for ensuring those duties are clearly allocated, followed through and completed. This position would suit someone who enjoys taking responsibility, creating structure, solving problems and helping a team perform at its best.

Key responsibilities

• Coordinating the daily activities and responsibilities of the front desk team
• Ensuring all front desk duties are appropriately allocated between team members
• Taking accountability for start-of-day and end-of-day front desk procedures
• Ensuring the reception area and front desk are organised and ready for the day
• Managing appointment books and supporting efficient diary utilisation
• Answering telephone calls, emails and patient enquiries professionally
• Welcoming patients and providing an excellent patient experience
• Coordinating appointments, recalls, rebooking and follow-up
• Monitoring cancellations and helping fill appointment gaps
• Processing payments and completing relevant end-of-day reconciliation procedures
