Project Officer

An exciting opportunity exists to join the Assessment Division in the Assessment Development Branch for an ongoing full-time position, supporting delivery of high-quality assessments for Victorian students.

About the Division

Assessment Division is responsible for the end-to-end development, delivery, and reporting of F-10, VCE examinations, the General Achievement Test (GAT) and NAPLAN. This includes the full assessment lifecycle: development of frameworks and blueprints, panel appointments, content development, editorial and design services, logistics, administration, marking, data processing, and reporting of outcomes.

Role Purpose

The Project Officer, Languages Assessment Unit, works within a fast-paced environment with strict security and confidentiality requirements to support the development and delivery of external assessments, including VCE examinations, for Victorian students. Reporting to the Manager, Languages Assessment, this role also works cross-functionally with other Project Officers to deliver seamless support for assessment development teams and ensure assessment materials are valid, reliable, and accessible to all students. This role requires on-site work.

Key Responsibilities

• work cross-functionally across the branch and division to provide consistent and high-quality project and administrative support for the development of external assessments
• ensure consistent implementation of processes and procedures across teams and units
• maintain physical and digital records management, secure storage, maintenance of close contact systems, and other relevant systems and processes
• maintain accurate records across project management software, databases and registers to support project tracking, reporting, and quality assurance processes, escalating risks and issues appropriately
• document and review key operational procedures to improve clarity, consistency, and quality assurance in examination production
• coordinate internal workflows across examination development, editorial, and design teams to ensure alignment and timely delivery
• work collaboratively across the branch and division to prepare assessment documentation for review by internal and external stakeholders, and manage accurate record-keeping in relation to reviews and assessment development more broadly
• support stakeholder engagement, including through scheduling of meetings and reviews, greeting external stakeholders, and calendar management
• undertake duties to facilitate examination delivery, including responding to email and phone queries, and supporting the preparation of exam centre messages
• undertake secretariat functions including scheduling meetings, preparing agendas, taking minutes and maintaining action registers
• support the appointment, onboarding, scheduling and coordination of sessional expert resources and associated processes
• prepare draft reports, briefs, correspondence, minutes and other documentation within established project plans and policy frameworks
• coordinate routine administration, payments and other business support activities relevant to the unit's operations.
• This role will require work outside standard business hours during peak operational periods to meet business requirements.

 

Qualifications and Experience

Essential: Relevant administrative or project management experience

Desirable: Experience working in a production function within the publishing or recording industries.
