About the role

Cool-Time Refrigeration and Air-Conditioning is seeking a Service Coordinator to join our team in Green Fields. This is a full-time position that plays a crucial role in supporting our service operations and ensuring seamless coordination between our technical teams, clients and internal departments. As Service Coordinator, you will be the backbone of our service delivery, managing scheduling, communications and administrative tasks that keep our business running efficiently. This role is essential to maintaining our reputation for reliability and excellent customer service in the refrigeration and air-conditioning industry.

What you'll be doing

• Scheduling and coordinating service appointments for refrigeration and air-conditioning installations, maintenance and repairs

• Managing service calendars and ensuring optimal technician allocation and route planning

• Acting as the primary point of contact between clients and service teams, responding to enquiries and providing updates on service status

• Preparing service documentation, job cards and work orders with accurate client and technical information

• Processing service requests and maintaining detailed records of all jobs, including completion reports and customer feedback

• Liaising with clients to confirm appointments, gather requirements and resolve any service-related issues or concerns

• Supporting invoicing and billing processes by ensuring accurate service information is captured and documented

• Maintaining communication between field technicians and the office, including dispatch updates and problem resolution

• Performing general administrative duties such as filing, data entry and phone management

• Contributing to continuous improvement of service coordination processes and procedures

What we're looking for

• Proven experience in a service coordination, administrative or customer service role, ideally within a technical, trades or service-based industry

• Strong organisational and time-management skills with the ability to juggle multiple tasks and priorities simultaneously

• Excellent communication skills, both written and verbal, with the ability to liaise professionally with clients, technicians and management

• Proficiency in using computer systems, scheduling software and Microsoft Office applications

• Customer service excellence with a genuine commitment to resolving issues and ensuring client satisfaction

• Attention to detail and accuracy when managing schedules, documentation and records

• Problem-solving ability and a proactive approach to identifying and implementing workflow improvements

• Reliability and punctuality with a strong work ethic and professional demeanour

• Knowledge of refrigeration or air-conditioning services is desirable but not essential, as full training will be provided
