About Us
Ballarat Performing Arts Community is a not-for-profit umbrella association and registered charity, dedicated to supporting and promoting the performing arts across our region.
We manage Ballarat Performing Arts Centre – a venue that serves as a cultural hub for artists, audiences, and the wider community. We also proudly represent a diverse membership of performing arts organisations, individual artists and creatives.
Our mission is to strengthen the performing arts sector through collaboration, visibility, and sustainability. As we continue to grow, we are seeking a part-time Front of House Coordinator to ensure venue hirers, audiences and guests enjoy their time at our venue, while providing a safe, accessible and welcoming experience for all.
Position Summary
As BPAC’s Front of House Coordinator, you will play an important role in ensuring every show and event runs smoothly from beginning to end. Working closely with the General Manager, BPAC staff, producers/event organisers and a team of casual event staff and volunteers, you will help deliver professional, welcoming and memorable experiences for our patrons.
No two shifts are the same. One day you may be preparing the venue for a theatre or music performance, and the next you may be coordinating a community event, managing the candy bar, or ensuring everything is ready before guests arrive.
Key Responsibilities
Event Planning & Coordination
· Liaise with hirers/producers to determine the requirements for each event.
· Assist with the preparation and delivery of events.
· Ensure venues/spaces are presented to a high professional standard.
· Ensure events operate efficiently and safely.
· Provide exceptional customer service throughout each event.
Staff and Volunteer Coordination
· Plan and roster casual staff and volunteer shifts.
· Assist with recruitment, induction and training for new FOH staff.
· Support volunteers during events, ensuring everyone understands their allocated duties.
Venue Presentation
· Maintain a clean, safe and welcoming venue.
· Conduct regular and pre-event venue checks.
· Report maintenance or safety concerns promptly.
Venue Setup and Pack Down
· Prepare venues for regular hirers and for performances and events.
· Set up chairs, tables, staging and front-of-house equipment.
· Pack down venues following events, ensure the venue is clean, tidy and ready for the next booking.
Bar and Candy Bar Operations
· Operate the licensed bar in accordance with Responsible Service of Alcohol requirements.
· Serve alcoholic and non-alcoholic beverages and snacks.
· Operate the candy bar before and during performances.
· Handle cash and EFTPOS transactions accurately.
· Deliver friendly and professional customer service.
Inventory Management
Maintain and monitor stock levels including:
· Bar supplies and beverages
· Candy bar stock
· Cleaning supplies
· Toilet consumables
· General event supplies
Advise the General Manager when stock requires replenishment.
