The Role – Administration Officer
Join a dynamic team where your attention to detail and administrative expertise will help ensure the timely and accurate management of alarm assessment processes.
As an Administration Officer, you will play a key role in ensuring the timely and accurate processing of false alarm submissions. You will manage documentation and database records, prepare invoices and credits in SAP, support the Assessment Team with case administration, and provide responsive customer service through the ARE Help Line, and contributing to the efficient delivery of alarm assessment services.
Functional Accountabilities:
Process and administer false alarm records and submissions, ensuring accuracy and compliance
Maintain accurate customer and alarm assessment data within SAP and FRV systems
Prepare and process correspondence, invoices, credit notes and VCAT documentation within required timeframes
Liaise with internal and external stakeholders via the Alarm Assessment Help Line and email, providing timely and accurate information
Maintain accurate records and stakeholder documentation to support operational and compliance requirements
Provide responsive administrative support and contribute to the efficient operation of the Alarm Assessment function
The Team
The Community Safety team plays a vital role in enhancing fire safety and community resilience across Victoria. Working closely with industry, government and key stakeholders, the team supports safer built environments through fire safety initiatives, evidence-based programs, policy development, safety reform and false alarm reduction strategies. Through collaboration, research and advocacy, the team helps drive continuous improvements that protect communities and support operational firefighters.

What you will need to Succeed
To be successful in this position, you will have:
Excellent attention to detail and the ability to maintain accurate records and process information with a high degree of accuracy
Completion of an appropriate clerical/administrative course is desirable
Strong verbal communication skills, with the ability to provide clear, professional and customer-focused assistance to a diverse range of stakeholders
Well-developed written communication skills, with the ability to prepare accurate correspondence and documentation
Sound problem-solving skills, with the ability to use initiative, judgement and critical thinking to resolve complex issues
Proven ability to effectively manage competing priorities, meet deadlines and deliver high-quality outcomes with minimal supervision
