Programmed Facility Management is seeking experienced Admin Utilities to join our team at a brand-new accommodation village in the Pilbara, supporting our client PLS.

With capacity for up to 200 people, this is an opportunity to join a new village operation from the beginning and play an important role in supporting the Village Management team and delivering a positive experience for residents.

This is a permanent full-time position on an 8:6 FIFO roster from Perth.

The Opportunity

As an Admin Utility, you will provide day-to-day administrative support to the Village Manager while acting as an important point of contact for residents and visitors.

The role is primarily focused on site administration, with some hands-on village support as required. You will be responsible for maintaining accurate records, supporting payroll and purchasing processes, assisting with reporting and general administration, while also supporting reception and resident check-in and check-out.

This is a varied role that will suit someone who is organised, approachable and confident dealing with people in a busy FIFO village environment.

As part of a brand-new facility, you'll have the opportunity to establish effective administrative processes and become an important part of the site team from the beginning.

What You'll Be Doing

• Providing day-to-day administrative support to the Village Manager
• Managing general site administration, data entry and document control
• Assisting with timesheets, payroll and employee administration
• Supporting purchasing, invoices and general financial administration
• Maintaining accurate staff and resident records
• Assisting with rosters, reporting and other site documentation
• Managing reception and acting as a first point of contact for residents and visitors
• Coordinating resident check-in and check-out processes
• Assisting with baggage handling and general village support as required
• Responding to resident enquiries and directing queries to the appropriate team
• Maintaining an organised and professional office and reception environment
• Supporting the broader village team with administrative requirements
• Assisting with general village duties when required

About You

We're looking for an experienced administrator who is organised, professional and confident dealing with people in a busy FIFO environment.

You'll be comfortable working autonomously, managing competing priorities and maintaining accuracy across a range of administrative tasks. Just as importantly, you'll enjoy working with people and be confident acting as a welcoming first point of contact for residents and visitors.

To be successful, you will have:

• Previous FIFO site administration experience (Essential)
• Previous experience in a similar administration, reception or office-based role
• Strong organisational and time management skills
• Excellent attention to detail and accuracy
• Strong written and verbal communication skills
• The ability to manage multiple priorities in a fast-paced environment
• Confidence working autonomously and taking ownership of administrative tasks
• Strong customer service and interpersonal skills
• Good computer literacy and experience using Microsoft Office
• INX experience (Desirable)
• A current C Class driver's licence
• Long-term Australian working rights
