About the role

As an Operational Administration Assistant, you will play a crucial role in operational coordination and support, ensuring efficient service delivery and client satisfaction across various facilities. Reporting to the General Manager, your responsibilities will encompass a wide range of tasks aimed at maintaining operational excellence and facilitating effective communication between internal teams and external stakeholders.

Key responsibilities

• Collaborate with Senior Management, Operations, and Area Managers to ensure facilities and sites adhere to contracts, client instructions, and quality standards

• Assist in daily operations, supporting management of cleaning teams across diverse facilities

• Provide guidance to Operations and Area Managers, ensuring effective cleaning service delivery and adherence to protocols

• Work with Management to guide regular facility inspections to identify cleaning tasks, maintenance needs, and rectifications

• Proactively engage clients, address concerns, and exemplify commitment to excellence and customer satisfaction

• Monitor cleaning product supply and equipment functionality, arranging repairs or replacements as needed

• Monitor safety standards, conduct WH&S inductions, and assign incidents promptly

• Ensure environmental compliance and proper waste disposal in alignment with company policies

• Assist management in onboarding, training, guidance, and discipline of cleaning staff

• Maintain accurate operational documentation and analyze operational data to identify trends and opportunities for efficiency enhancement

About you

• Prior experience in administration, operations support, or coordination — facilities, cleaning, trades or services industries highly regarded

• Highly organised with sharp attention to detail — you don't let things slip through the cracks

• Confident juggling multiple systems, registers and deadlines at once

• A clear, professional communicator who's comfortable liaising with management, clients and contractors alike

• Solutions-focused — you spot a problem and get on with fixing it

• Proficient with Microsoft Office; happy to learn new operational software and platforms
