About the role
This is an entry-level Executive Assistant & Business Support role within a growing allied health and behaviour support business. You will work closely with the Principal and administration team and gain hands-on experience across business administration, accounts, bookkeeping, social media, systems, operations and executive support. This is a varied position where no two days will necessarily look the same.
Key responsibilities
Executive & Principal Support
Work closely with the Principal and assist with delegated business and administrative responsibilities
Manage and follow up delegated tasks
Prepare documents, spreadsheets and correspondence
Organise information for meetings and projects
Follow up outstanding actions
Assist the Principal with day-to-day business priorities
Research information when requested
Maintain task lists and help ensure deadlines are met
Assist with small projects from beginning to completion
Liaise with team members on delegated matters
Accounts & Bookkeeping Support
Assist with accounts payable and accounts receivable
Enter and check invoices
Follow up outstanding accounts
Record business expenses
Manage receipt management
Assist with basic bookkeeping
Support bank and transaction reconciliation
Prepare information for accountants and bookkeepers
Maintain financial spreadsheets
Assist with payroll preparation and timesheet checking
Administration & Business Operations
Perform general business administration
Handle emails and correspondence
Prepare documents
Manage filing and record management
Perform data entry
Update spreadsheets
Maintain internal systems
Follow up staff requests
Assist with calendars and scheduling
Coordinate business activities
Social Media & Digital Support
Assist with Instagram and Facebook content
Create LinkedIn posts
Design Canva graphics
Schedule social media content
Take photos or short videos for business content
Create simple reels and promotional material
Update online business information
Support recruitment and employer-branding content
Getting Out of the Office
Travel between business locations
Collect or deliver documents and resources
Attend meetings
Assist with business errands
Visit community locations
Support events or promotional activities
Complete other reasonable delegated business tasks
About you
Current Australian driver's licence
Confidence driving as part of the role
Good computer skills
Strong written and verbal communication
Ability to handle confidential information appropriately
Good organisational skills
Australian working rights
Reliable and dependable
Strong attention to detail
Comfortable working with numbers
Learn new software quickly
Understand the importance of confidentiality
Comfortable working with different personalities
Able to adapt when priorities change
Ask questions when unsure
Look for solutions rather than waiting to be told every next step
Teachable, adaptable and trustworthy
Experience
Previous experience is not essential
Experience in administration, reception, bookkeeping, accounts, Xero or similar accounting software, social media, Canva, customer service, healthcare, NDIS or disability services, or professional services would be advantageous
