We are seeking an experienced NDIS Administration & Operations Coordinator to join our friendly and supportive team in a full-time role. This position will initially be office-based during the training and onboarding period (approximately 2-3 months), with the opportunity to transition to a hybrid or work-from-home arrangement once competency in the role is demonstrated.

About the Role
As our NDIS Administration & Operations Coordinator, you will play a critical role in the day-to-day coordination of our services, supporting participants, support workers, and management to ensure smooth and compliant service delivery.
You will be responsible for roster coordination, participant administration, operational support, compliance administration, and maintaining accurate records within ShiftCare and other business systems. Common functions in similar NDIS operational roles include scheduling, stakeholder communication, record management, compliance support, workforce coordination, and participant service administration.
Key Responsibilities
Create, manage and maintain support worker rosters using ShiftCare
Coordinate participant schedules and respond to roster changes and urgent shift requirements
Ensure services are delivered in accordance with participant goals and service agreements
Act as a key point of contact for participants, families, support coordinators and support workers
Manage participant onboarding, service agreements and documentation
Maintain accurate participant records and staff records within ShiftCare
Monitor service bookings and support operational efficiency
Assist with NDIS compliance and audit preparation activities
Ensure documentation, records and reports remain accurate and up to date
Support incident reporting, compliance tracking and quality improvement activities
Assist management with workforce coordination and operational administration
Liaise with internal teams to ensure seamless service delivery
Provide general administrative support across the organisation
Support continuous improvement initiatives and contribute to a positive team culture
About You
To be successful in this role, you will have:
Essential Requirements
Minimum 2 years' experience in an NDIS administration, rostering, coordination or operations role
Demonstrated experience using ShiftCare (applications without ShiftCare experience will not be considered)
Strong understanding of NDIS operations, participant service delivery and compliance requirements
Exceptional organisational and time management skills
Ability to manage competing priorities and work autonomously
Excellent verbal and written communication skills
High attention to detail and accuracy
Strong problem-solving and decision-making abilities
Advanced computer skills including Microsoft Office Suite
Current National Police Check
NDIS Worker Screening Clearance
Current Driver's Licence
Desirable
Experience working within a registered NDIS provider
Knowledge of SCHADS Award rostering requirements
Experience supporting NDIS audits and quality systems
